Overview
This feature is useful when planning on WBS elements and internal orders for the life of a project. However, it can cause inaccurate numbers if planning on cost centers.

You can use the Summary Statement and the Account Managers Report to reflect the total planned amounts over all fiscal years. The Account Managers Report allows you to enter a range of fiscal periods and years to see planned amounts across fiscal years in one report run. When you run the Summary Statement, you can enter only one fiscal period and year at a time. If you want to see planning for the next year, you need to run the Summary Statement for the next fiscal year.

Plan for Multiple Fiscal Years

1. Create a plan for the first fiscal year and save it.

2. The Initial Screen maintains the parameters for the plan. Change the From period, To period, and Fiscal Year fields on the Initial Screen to plan for the next fiscal year.

3. Click the Overview button button and create the plan for the next fiscal year.

4. Save the plan. Repeat for subsequent fiscal years.

An Example

In the example below, $12,000 is planned on a WBS element from period 3 of fiscal year 2000 to period 11 of fiscal year 2001. Fiscal year 2000 and fiscal year 2001 each contain $6,000. You can use sap-edu, the Practice environment, to work on this example.

 

Plan the First Fiscal Year

1. Set the plan parameters for the first fiscal year.

2. On the Initial Screen:

  • Enter the plan version of your school or area in the Version field.
  • Enter 3 in the From period field and 12 in the To period field.
  • Enter 2001 in the Fiscal Year field.
  • Enter a WBS element number in the WBS element field.
  • Enter CEMIT-0 in the Cost element or group field.
  • Click the Free radio button.

3. Click the Overview button button to go to the Overview Screen.

4. Enter 6000 in the Planned Costs field. For this example, plan the entire amount on cost element 420226 Materials and Services and set the distribution key to automatically distribute evenly across fiscal periods (Dist Key = 1).

5. Select the row by clicking in the left box.

6. Click the Period button button to see the distribution across periods on the Period Screen.

7. Click the Save button button to save the plan.

Result: The Initial Screen appears with the parameters still set.

 

Plan the Next Fiscal Year

1. To continue the plan into the next fiscal year, on the Initial Screen:

  • Enter 1 in the From period field.
  • Enter 11 in the To period field
  • Enter 2002 in the Fiscal year field.

2. Click the Overview button button to go to the Overview Screen.

3. Enter 6000 in the Planned Costs field. Again, for this example, the entire amount is planned on cost element 420226 Materials and Services and it is automatically distributed evenly across fiscal periods.

4. Select the row by clicking in the left box.

5. Click the Period button button to see the distribution across periods.

6. Click the Save button button .

Result: The $12,000 is now planned across the two fiscal years for the life of the project.

Once your plan is saved, you can run the Summary Statement or the Account Managers Report to check your plan against revenues and expenses.
