QUICK GUIDE for Creating a Plan

Go to Initial Screen

Use the following navigation path from the SAP User Menu screen or type in the transaction code from any screen.

Navigation Path: 

- User Menu
- Role ZMIT
- Planning/Budgeting
- Create/Change Plan
- WBS Elements
or Internal Orders or Cost Centers

Transaction Code: 

/ncjr2 (WBS elements) or /nkpf6 (internal orders) or /nkp06 (cost centers)


Step 1: Plan Layout and Version

Layout: 

This should be "Z-DEPT PLANS." If a different layout is displayed, see the Introduction for instructions on setting your user parameters for the MIT Financial Planning layout.

Version: 

Plan version of your school or area. (Do NOT use plan version 0.)

Step 2: Define Range of Dates

From period: 

Beginning fiscal period of the plan.

To period: 

Ending fiscal period. 

Fiscal year: 

Fiscal year (four digits).

Step 3: Enter Cost Object(s)

WBS element: 
Internal order  
Cost center  
 

Single cost object or the first one in a range.
Leave blank if entering a cost object group.

to: 
(optional)  

Last cost object in a range.
Leave blank if entering a group or single cost object.

Or group: 
(optional)  

This option is not recommended. If you need to plan on more than one cost object, put the first cost object in the WBS Element, Internal Order, or Cost Center field and the last cost object in the to field.

Step 4: Enter Cost Element(s)

Cost element: 

Single cost element or first one in a range.
Leave blank if entering a group.

to: 
(optional)  

Last cost element in a range.
Leave blank if entering a group or a single cost element.

or group: 
(optional)  

Select cost element group, usually CEMIT-0.

Step 5: Select Option to Enter Cost Elements

Free: 

Allows you to enter cost elements yourself. (Recommended.)

Form-based: 

SAP will load all the cost elements in a group for you.

Click the Enter button button to see descriptions of the plan version, cost object, and cost element.

Step 6: Click the Overview button

Note

Although the fields function the same as the fields on the WBS Element Initial Screen, the names for some fields are different on the Internal Orders and Cost Centers Initial Screens.

Step 7: Enter Plan Amount and Distribution Key

Cost Element: 

Enter more cost element(s) if you selected Free entry.
(Cost elements are already displayed if you selected Form-based entry.)

Planned Costs: 

Leave blank for manual distribution.
or
Type in the plan amount for each cost element for automatic distribution.

Dist Key: 

Enter 0 for manual distribution.
or
Select the distribution key for automatic distribution.

 
Step 8: Select Cost Element

Step 9: Click the Period button

Note

For automatic distribution, go to Step 11.

Step 10: Distribute Across Periods

10a)

Type in amounts for each period in the Planned Costs field.

10b)

Click the Enter button button to calculate the total.

10c)

Use the Next button button and the Previous button button to enter amounts for other cost elements.

 
Step 11: Save the Plan

Click the Save button button.
