Create Commitment Projections for a Proposal Object

Overview
Once you create a Proposal Object, you can use it to create commitments in new or existing appointment records in two ways:

Convert Proposal Object Distributions Within Appointments to Actual SAP Cost Object Distributions

Overview
This function allows you to convert appointment distributions associated with a Proposal Object to actual LDS Cost Object distributions. The following are the main functions and options:

  • Generate a report listing the proposed record changes that will take place during the conversion process.
  • Convert the distributions by selecting an appointment ID or range of appointment ID's.
  • Convert all appointment distributions that relate to a Proposal Object at one time.

Convert a Proposal Object

From the SAP User Menu screen, use the following navigation path or transaction code:

Access the conversion function
Follow the next three steps for either generating the report or for carrying out the conversion.

1. Click on the Proposal Objects folder in the report tree.

2. Double-click on the "Conver Prop. Obj to Cost Obj" function.

Result: The "LDS: Convert Proposal Object to SAP Cost Object" screen is displayed. You can either generate a report or update the distributions to the SAP Cost Object.

3. To convert a subset of distributions, enter the Proposal Object and one or more appointment ID's, or select a range for the appointment distributions that you want to convert. If you wish to convert all of the distributions applied to this proposal object at one time, do not enter any Appointment ID's.

Your next steps depend on whether you are only generating a report or carrying out the conversion. Follow the steps in the appropriate section.

Generate the Report
1. Click on the radio button for Generate Report (the default selection).

2. Click the Execute button button and LDS displays a report illustrating the Proposal Object's committed distributions for the appropriate appointments. No changes to the distribution lines occur.

See the sample report below for a description of the fields.

OR

Update the Distributions
1. Click on the Update Distributions radio button to select the conversion mode.

2. Complete the fields in the Update Parameters section as described below:

What to Enter

Cost Object ID

Enter a valid Cost Object ID to which you want to convert the designated Proposal Object's future distributions.

Cut-Off Date

Enter the Cut-Off Date for Distributions (the end date for the conversion).

Note

The initial Proposal Object distribution line may have an ending date that is later than the date you enter here. In that case, LDS will split the distribution, leaving the remaining distribution assigned to the Proposal Object.

Process BDC
Session

Mark the check box to confirm that you want this BDC (Batch Data Communication) request to be submitted.

3. Click on the Execute button button.

Result: Upon completion of the conversion, LDS displays a report similar to the one below. This report is the same as the one produced when you choose the Generate Report option. The fields are described in the table below.

Report Header Fields
The information in the header is self-explanatory.

Field Name

What to Enter

Appt. ID

LDS Appointment ID number, identifying an appointment that contains Proposal Object distribution information.

Name

Last name, First name

MIT ID

MIT identification number of the appointment (person) with a Proposal Object distribution.

Title

Position title of the appointment (person).

Proposal Object

Proposal Object ID that the user selected to collect data for this report.

Description

Full text description of the Proposal Object.

Cost Element

The six-digit SAP cost element number.

Start Date

Starting date of the Proposal Object distribution.

End Date

Ending date of the Proposal Object distribution.

Distr. %

For the selected Proposal Object, the Distribution percentage to be charged for the defined time period.

Check Your Work after Conversion
In order to be sure that your conversion request was completed successfully, you might wish to display a selection of affected appointments through one of the Display Appointment functions.

You can also check LDS Reports: Appointment Reports: Personnel Comm. by LD Object>>Personnel Commitments by LD Object to verify that the conversion took place properly.
