Overview
MIT primarily uses the Workflow Inbox from the Business Workplace environment to:

  • approve requisitions
  • correct and resubmit rejected requisitions
  • approve VIP credit card purchases
  • correct and resend rejected journal vouchers

(Other functions of the Business Workplace are not supported at the present time.)

If you are an approver, only the line items of a requisition needing approval appear in your Inbox. If you submitted a requisition or journal voucher and it was rejected, it will appear in your Workflow Inbox for you to resubmit.

Accessing Your Inbox

If you have mail, a dialogue box similar to the following appears when you first log on to SAP:

1. Click the Enter button .

Note

If you have unread mail, you can click the Inbox button to go directly to your Workflow Inbox.

2. Follow the navigation path from the SAP User Menu screen, or type in the transaction code from any screen:

Result: The Business Workplace screen is displayed with the Inbox closed. Click on your Inbox to open it and see individual items.

Reviewing Work Items

Important for
Mac users:

Make sure that the following setting is selected. Follow the menu path: Settings>>Workflow Settings>>Personal Settings. Click in the radio button next to No HTML in execution of decision tasks. The PC sets this field as a default.

1. Double-click on an item in your Inbox.

Notes

Slide the horizontal scroll bar below the work items to the right see all the Inbox fields.

Resize the list of Inbox items by holding the cursor on the line below the scroll bar until it becomes a double-arrow. Then hold down the mouse and move it up or down.

Point the cursor in the middle of the buttons (on the top) to identify them. The Update button (upper left) now refreshes your Inbox.

Sort the contents of your Inbox by clicking on a column heading such as Title or Date received.

Optional Settings

Turn off Tips and Tricks:
You can remove the tips and tricks displayed in the preview area.

1. Follow the menu path: Settings >> Workflow Settings >> Personal Settings.

2. Select No tips & tricks in workplace.

3. Click the Enter button .

Hide the Preview:
You can choose not to display the preview of your item at the bottom of the screen.

Follow the menu path: Settings >> Switch off preview.

View Work Items by Category:
Your work items are automatically filtered according to task, content, and sort key. You can see your items by categories after you first access the Inbox.

1. Click on the left arrow next to Workflow (below your Inbox).

Result: The items are grouped in separate folders.

2. Open the folder(s).

3. Select an item and it appears on the right.

4. Double-click to open it.
