Note

If there are items to be approved in your Workflow Inbox, SAP displays a message when you log on.

Step 1: Click the Workflow button

Step 2: Review Requisition Line Items

There are three ways to review line items:

  • Use the Review/Print Requisition report. Go to Step 3.
  • Use SAPweb. See the SAPweb home page, and use the Display Requisition function.
  • Review them via the Workflow Inbox. Go to Step 5.

Step 3: Display the Review/Print Requisition Report

3a)

Write down the requisition numbers in your Workflow Inbox.

Go to the Review/Print Requisition screen:

3c) Type in the requisition number.

Click the Execute button button .

Step 4: Review the Print Line Item Details

4a)

Click the magnifying glass button magnifying glass icon next to the requisition to display line items.

4b)

A green checkmark green checkmark iconmeans it has been approved. A red X Red X icon indicates the line item has not yet been approved.

4c) Review the line item details of the requisition including quantity, price, G/L account, cost object, and justification (if any).

4d)

To review this report on paper, click in the line item selection box and then on the Print Req button to print the requisition.

Step 5: Approve (Release) Line Items

5a)

Go to the Workflow Inbox. See Step 1.

5b)

Double-click the Execute button button next to the line item you want to approve. The Item Detail screen is displayed.

Note: Only line items that you are able to approve will appear in your Workflow Inbox. There may be other line items in the requisition that do not require your approval.

5c) (optional) You can make changes to any fields that are white. You cannot change the gray fields.
5d) Use the Go to menu to move between the screens to review details and make changes.
5e) Follow the menu path: Goto >> Item Overview.

5f) Click the line item selection box to the left of the line item.
5g) Click the Save button button to save your changes or the Release + Save button to save your changes and approve the requisition. A message appears confirming that the requisition has been changed. Your Workflow Inbox is displayed.

Click on the Update button button to refresh your Inbox screen.

Step 6: Delete Line Items (optional)

6a)

Copy the requisition number from your Workflow Inbox.

6b)

Access the Change Requisition transaction:

- Change a Requisition

6c) Enter the requisition number and click the Overview button button. The "Change: Purchase Requisition: Item Overview" screen is displayed.
6d) Click the line item selection box to the left of the line items you wish to delete. To delete an entire requisition, select all its line items.
6e) Follow the menu path: Edit >> Delete.

6f) In the "Delete items" dialog box, click the Yes button.
6g) You are returned to the "Change: Purchase Requisition: Item Overview" screen. All deleted line items are grayed-out and have a checkmark in the 'D' column.

6h)

Click the Save button button .
