Overview

The Manual Funds Reservations Report allows you to view your manual reservations, either displaying them on screen or printing them out. You can determine what the report displays using various selection criteria. For instance, you can see all your manual reservations:

  • Over the period of time they were created
  • For one profit center, cost object, or cost element
  • For a range of profit centers, cost objects, or cost elements
  • For a combination of limiting criteria such as due dates, userid, and status of line items

The more precise you are, the faster the search.

Note

Any reporting profile provides authorization to run this report. A user with the appropriate reporting profile can see a manual reservation on any cost object in SAP, using the Manual Reservations report.

Displaying the Manual Funds Reservation Document Report screen

Use the following menu path from the SAP User Menu screen or type in the transaction code from any screen.

Navigation Path:

- Reports
- Transaction Reports
- Manual Reservations

Selecting the Report Criteria

This screen allows you to select criteria to speed the system's search in finding precisely the manual reservations you want to review. You can complete any number of fields to narrow the search.

In some fields, you can use the Matchcode button (PC: ) search function to find the data you want. (See Getting Started: Matchcodes.) Many fields offer Multiple Selections for entering nonconsecutive numbers or multiple ranges of data. (See Reporting Fundamentals: Selection Options for Setting Report Parameters.)

Field Name

Description

Creation Dates

Enter the dates (or range of dates) that the reservations were created.

Document number

Enter the document number (or range of document numbers) you want to view.

Profit Center

Enter the profit center (or range of profit centers) you want to view.

Cost Due Date

Enter a single date (or a range of dates) that includes the items you want to see on the report.

Cost elements

Enter a single cost element (or range of cost elements) you want included in the report.

Creator's SAP Userid

Enter an SAP userid to view only reservations created by certain users.

Line Item Status

Choose the type of line items you wish to see on the report:

No Restrictions - lists all manual reservations, regardless of status

Fully or Partially Open - shows manual reservations with full or partial open amounts but have not been completed

Fully Completed and/or Deleted - manual reservations which have been completed and/or deleted

Cost Objects
(Cost Centers, Orders, WBS Elements)

Individual cost element types (WBS elements, internal orders, or cost centers) or any combination.

You can click on a box to exclude manual reservations for a particular cost object from the report.

Executing the Report

1. Click the Execute button (F8).

Result: The "Manual Funds Reservation Document" screen appears, displaying all the manual reservations that matched your selection criteria.

Reading the Manual Funds Reservation Document Report

The "Manual Funds Reservation Document Report" results screen confirms all the selection criteria used in creating this report. Scroll down to see the manual funds reservations.

Most of the fields on the report are self-explanatory. The following fields require further explanation for a complete understanding of their use.

Field Name

Description

CO Object

Indicates the type of cost object used for the reservation:

CCTR = Cost Center
ORDR = Internal Order
WBS = WBS Element

Open

Reflects the amount outstanding if a line item has been reduced, but not completed (i.e., closed).

C

Shows if a line item has been completed. An X indicates if the completion indicator was checked on a line item.

D

Indicates if a line item was deleted. An X indicates if the line item was deleted.

Drill down to SAP source document screens

1. Click on a document number to see the "Display Funds Commt" overview screen for the manual funds reservation. Or click a line item number to see the "Display Funds Commt" detail screen line item.

2. Click the Back button button to return to the report.

Printing the Report

1. Click the Print button button on the Toolbar.

Result: The "Print Screen List" screen is displayed.

2. Make sure that the correct printer is in the Output Device field and that X_58_170 is selected in the Format field at the bottom of the screen.

3. Click the Continue button in the Function Bar.
