Sample Text and Other Guidelines For Sending Reports

We have automated the procedure for sending the report. Please see the Style Guide for instructions for submitting the report.

The submission form accessed from the style guide will prompt you for everything here.

Reports are to be sent to the President and Treasurer of the House Corporation, the Alumnus/a Chapter Advisor, the Alumnus/a House Manager (as shown in Section A of the BDF), plus all persons who provided email addresses on the sign-in sheet.

Below is the text which will be generated automaticallly based on your answers on the submission form. This text will be the main body of the email sent to the FSILG. Your report will be included as an attachment to the email.

Note that your report is assumed to be final unless the FSILG raises serious errors of fact in the response. Please do not refer to your report a "draft". The cover letter will be sent as text, but please submit your report in PDF format. Other formats are likely to print incorrectly unless the receiving system has exactly the same fonts installed that you have. In the report, please be sure to include a page break before Section 3 (Suggestions to the Accreditation Committee, if included), but do not include any page breaks except for "widow and orphan control" prior to Section 3. If there are no process improvement comments or suggestions (Section 3) in the report, eliminate the blue text from the cover letter and do not even include headings for Section 3 in your report.


In the case of a finding of "Recommend Accreditation" (without reservations only)

Thank you for the good visit and for your participation in the AILG accreditation process. Our report is attached as a PDF document, which we are also forwarding to the Accreditation Coordinator, John Covert. Within five business days, please send any response your alumni organization would like included with the report to John at covert@mit.edu. John takes care of appending your response, if any, to the report and sending them to the offices of the Associate Dean and Director of FSILGs and the Senior Associate Dean for Residential Education as well as summarizing all reports at the end of the year.

Section 1 (the accreditation result) will be posted publicly. Section 2 (general comments), together with your response, will be sent to the Accreditation Committee, the AILG Board and to MIT administrators. Section 2 and your response will also be included in the annual "full report" which may be requested by any member of the FSILG Community, but only the annual summary report will be posted publicly.

Section 3 (Suggestions to the Accreditation Committee and possible process improvement) is intended for the Accreditation Committee and will not be part of your organization's report.


In the case of a finding of "Recommend Accreditation with Reservations" or "Not Recommended for Accreditation"

If the AILG Board requires the report to be significantly modified

(but leaves the finding "with reservations" or to not accredit)

After a review by the AILG board, our report has been updated to reflect the Board's requested modifications, and we are sending you the updated copy in PDF format for your review. We would like you to have the opportunity to provide a response to the updated report. Within five business days, please send any response your alumni organization would like included with the report to John at covert@mit.edu. John takes care of appending your response, if any, to the report and sending them to the offices of the Associate Dean and Director of FSILGs and the Senior Associate Dean for Residential Education as well as summarizing all reports at the end of the year.

(and changes the finding to "Recommend Accreditation" with no reservations)

Thank you again for your participation in the AILG Accreditation process. After a review by the AILG board, our report has been updated to reflect the Board's requested modifications, including a change of finding to "Recommend Accreditation". We are sending you the updated copy in PDF format for your review. We would like you to have the opportunity to provide a response to the updated report.
