Minutetheser first Execboard Meeting of the new administration, 3/31/94 Members of the new administration: President: Greg Dunn (dunnage@mit.edu) '96 Secretary: Matt Knapp (imapilot@mit.edu) '95 Treasurer: Rebecca Fahrmeier (refahrme@mit.edu) '95 Undergrad M.A.L.s : Doug Wyatt (dwhyatt@mit.edu) '96 : Maria Gavieres (trina@mit.edu) '95 Grad. M.A.L. : Kent Lundberg (klund@mit.edu) G M.A.L.: Wayne Baumgartner (whbaumga@mit.edu) '96 GSC Rep: Not yet appointed UA Rep: Not yet appointed Meeting Called to order 21:45 Attendance: Greg, Rebecca, Kent, Doug and Myself Greg - needs to present the constitutional amendment which gives execboard 2 more members to the UA, and GSC Person who sits on our executive committee is Lisa Allen, or Lelo?? no one?? Liaison to RCA is Susan Allen or Ted Johnson, ASA -> CAC Look over a copy of Robert's Rules - try to run by them Quick overview of ASA by Scott - most of our time is recognition, and upkeep , other issues -room and bulletin boards etc. Conflict resolution - not very often - usually go to Susan Allen Current Conflicts between groups - VooDoo Vs Rune, TCA Vs. counterpoint Generally go to Ted Johnson about room conflicts (vs. Susan) Current conflict with bulletin board assignments WMBR was cut in half, CSC is supposed to have half that board. Public boards on the oo corridor are actually ours, also across from Fishbowl and from Dunkan Doughnuts. WE don't have control over a few between lobby 10 -> fishbowl on south side of the hallway. - Plastic enclosed boards mounted on wall we don't have control over. Women's Studies boards - owned by the office, same with IAP and etc. Other functions: pass down useless info from on high to clubs If admin is doing someting nasty affecting student groups we can fight it. Pending problems: Current cash policy: no cash in student activity space - most group violate this - Susan wants to enforce this, we want to change this rule. Complicated - involves CAC, RCA, CP, maybe more. Locks and Key control - Make sure that Dean's office knows that we represent both undergrads AND Grads! (they seem to think that we're undergrad only) WE are joint GSC, UA Midway - time to deal! RECOGNITION: procedure: as a form comes in, someone needs to read application (don't leave this for mtg.) AT meeting, discuss what is wrong with the application, if it's ok - recognize, if there's minor stuff wrong with it, provisional recognition - 2 weeks to fix whatever, or deny recognition. Things you need to recognize: 1) appropriate number of students, >5 registered students. in constitution: 1) random blathering part on purpose - make sure they do something interesting. Must have elections, must not bar anyone from membership, must have at least 2 elected officers - president and treasurer - distinct individuals - Class I vs Class II - pres must be MIT student. Treasurer must be a student? Not by our constitution! Must be students to get $$ from GSC or UA. Need anti-discrimination clause. If there are dues - must have a hardship clause - can't bar anyone because they can't pay. ASA god clause. Watch out for people duplicating purposes - can't happen. Need signature list - needs to be updated - keep original form, send a copy to RCA and CAC Need a copy of the anti-hazing law EVERY YEAR! Needs to be submitted every year! Watch out for "fronts" groups - ie representing large numbers of people off campus Also watch out for groups with strong ties to outside organizations. Number of offices on campus which need up to date listing of student activities. There should be a mailing list of thse, but it may have been lost, try Susan??? Ted? Offices such as schedules etc. Currently the NAACP is provisionally recognized, because their constitution is straight from H.Q. - ie no hardship clause, no god clause. Re-contact them to make sure they realize that they need to change their constitution. We now have a "room allocation policy" - no real bylaws for this place. Meeting Over 23:30 Matt Knapp ASA Secretary
