In attendance: Doug Wyatt, Kent Lundberg, Bill Gehrke, Russell Light, Steven Jens, April Griffin, Business of the day: -------------------- 1. Discussed duties and responsibilities of new officers, talked about new group recognition procedures. 2. Started discussing summer mailing and the R/O midway. Midway : need to get midway requests from all groups. Require forms two weeks before classes end, should be plenty of time. We need to get requests soon so we can get the early returns allocated. Summer Mailing : we want to print the book and sent out the packet. Dean's office should pay for the book and pay for postage, (they usually do). We pay for the whole packet thing. Graphics Arts put the book together last year, we just gave them the half page ads and the info and they put the whole book together at a competitive rate The Office of Minority Education has stated the "increased participation in student activities would improve race relations on campus", so they may be interested in printing extra copies of the book and distributing it during the term. Jeremy Brown was nominated as Midway Czar because he has the experience and was not in attendance to object. April volunteered to help Jeremy. Bill agreed to work on the mailing when confronted by Doug. Doug will make sure that the Deans' office is up to speed for printing the book. 3. Doug talked about how the Reaper(tm) works and what the output of the program is (/mit/asa/ActivityDatabase/). We need to get another discuss list to archive asa-official email for the web-page. 4. We need to finalize the room reallocations, like the Walker conference room, the W1MX and WMBR shared storage, getting the locks changed, making sure that the moves and work that needs to get done gets done, clean out the SAO office, talk to TCA, SCA, and IFC about 450 and getting more furniture and stuff. Spliting up the workload (room czars) : Doug w20-450, Russell 50-010, Kent W1MX cage, everybody SAO. Doug will send mail to all SAO groups telling them that we will be cleaning it out this summer. 5. Outside bank accounts meetings continue to roll forward, Doug, Jeremy, and Russell will continue to field that process. Doug summarized. Bill may join the group since he was part of the begining. 6. We tried to find a common meeting time for our regular biweekly meeting. 7. Doug will announce the next meeting. Adjorned 17:30. --> Kent.
