Meeting of the ASA Executive Board Monday November 23, 1998, 8pm Members Present: Scott Van Jocelyn Jen Ellie Matt Lex Brian L. 1. New Group Constitutions -Studio 77 -full approval (looks very good) -send them an email asking them to change election timing -New Enterprise Career Club (NECC) -seems redundent with e-club -decision to email them and ask them why they want recognition -Aeolus -they will have to pick a new locker name ('aeolus' is taken) 2. Career Council Issue -Meeting last Tuesday with the two officers of the CC -Jen summarized the discussion at the meeting (explained in previous emails) -Reccomendations ASA has made -change name to indicate that they are a student grp -refund the money to all participating companies -work with career services in future -Why didn't CC just charge companies for the 'social' instead of trying to raise money from the career fair? -We will suggest to Katie Odair that the club be made to refund. If this doesn't work, we will take further action. -Question of number of members: only two people on cc-members emailing list (same two are on cc-officers). -Question of where their money is (leave this to Katie for now). -we will keep a close eye on them (and be in touch with katie) 3. Slight change in the composition of the board -Clare has resigned from the ASA Exec Board -Brian L will become the GSC rep -Scott will be the grad rep at large. 4. Bulletin Boards (Jen) -"either fix your board in the next two weeks or email us when you will do it, otherwise we'll take your board away". -Drama Shop-real bad -Outing Club-awful -Amnesty International (looks nice, not updated) -SWE, APO (look nice, but not updated) -LUChA - club name falling off -Anime - haven't moved in yet (REALLY harass) -Rune - haven't moved in yet (harass) -SCA - still empty -ESP - falling apart -Dance Mix Coalition - haven't moved in yet -AIAS - ripped, ratty, disintregating -Hindu - doesn't look like it's been touched in a long time -Chinese Scholar Group - not sure -We need to move the boards over (over where voodoo is) 5. Postering -People postering on boards that haven't gone up yet -People postering on doors, walls, trees -Addition of outside postering spaces (senior gift idea?) -Chalking? (cool.) -Duct Tape posters on ground. (not cool.) -re-iterate postering policy on asa-official email: -anyone may remove (or poster over) duplicate or non-MIT posters 6. FinBoard (Matt) -Eight applications for new members (one space) -LEF meeting tomorrow 7. Web (Jocelyn) -Hazing form is up -During IAP Jocelyn will work on it more 8. Ellie is leaving next term -Should a member at large step up to take secretarial duties or should we elect/appoint a new secretary? -btw -- ellie would like to return to the board next year in September (or end of August, actually). 9. Specific Body Meetings (Van) -Van will send out email about SBMs -They will begin around March -There will be pizza -RSVP will be required two week before SBM with attending rep & position and proped agenda items 10. General Body Meeting -GBM (with elections) will be after spring break (no longer on the first night of Passover) -in 10-250 again 11. Recognition Requirements (Scott) -hasn't really gotten to it yet -possibly done during IAP, and/or after this meeting 12. Keys (Lex) -Meeting with Ted & Katie cancelled at the last minute -Most student groups don't care about it that much -Small Activities Office -currently very sketchy situation (groups deserve more security) -suggestion of higher security lock -possibly a lock that can track who goes in (different groups can have different entry codes) -Matt will talk to Ted about this special lock 13. FinBoard (Matt -forms are due a week from wednesday -- do we want anything? -lockers for SAO? -advertising for GBM? -A/V, slides, ballots, etc. for GBM? -Lock for SAO? (or should that be CAC?) 14. Office Codes -Outer office 24-35-1 -ASA office 25-3-14 15. Class Councils -can they ask for finboard monies? (would ASA support that) -finboard has more money this year -they are definitly _allowed_ to apply (they are ASA-recognized) 16. ISA has no office -Observer has an office with AISES and Club Latino -ISA can move in with them -Van will email AISES & Club Latino about 17. MIT FIRST -They want lots of space, which we don't really have -Currently they are using space at Edgerton Center (seems appropriate) -Matt will contact them about this 18. Other Offices -Debate & Rune living together, Sangam and OC move in -Thistle is on vacation -Can we move Rune in with Thistle, move Sangam in with Debate, and give OC their own office 19.
