ASA Exec Meeting on 3/15/99 in attendence: Van, Jen, Brian, Lex, and Matt (very late) called to order at 9:07pm I. Feedback on process of SBMs - more warning of meeting dates for groups -> more planning time - for the future, we should clarify roles and responsibilities - have a facilitation workshop - place generic agenda in the /asa/SBM/ directory for easy access - have FAQ's handy and prepared so mediators know what is common and how to respond - for more extensize questions, divide topics among exec and have an "expert" in fields ranging from ua finboard to event planning to mit liability - 10-280 is nice, but is most appropriate for groups ~20, if we do advanced booking, use pdrs 1&2 for large groups, pdr 3 for small also, maybe divide cultural into 3 groups? II. Follow-thru on SBMs - we must follow thru on our "threats" to groups who don't attend o all attendence issues must be worked out by the end of officers hours on March 31st o scribes must hand/email in the following by that deadline 1. attendence list with group/name/email 2. groups that did not attend, divided into groups who responded over email and groups that did not 3. any groups w/ extenuating circumstances - sickness, etc including those that asked for derecognition scribes should talk to mediators to include emails sent to to them(mediators) - van will be talking with brian and jocelyn to go over the following: o compiling feedback into a written report o presenting general findings to margaret, roz, larry o channeling specific feeback into conversations with the appropriate administrator III. Bulletin Boards (mostly SBM content issues from jen) - if a group w/ a BB is interested in sharing space with another group, that's an internal decision - asa only cares that we get notified when cooperation happens - martial arts groups interested in a joint board because they are all small groups: does jui jitsu have a BB? - there was the suggestion that some of the BB space along buildings 16 & 56 get converted to group BBs: great idea! - could use a BB somewhere between building 8 & 16 - jen, as BB extrodinare from last term, will: o notify groups with poorly maintained BBs o talk to ted johnson about whether we have jurisdiction over BBs in 16 & 56 o talk to facilities about more BB space in 8&16 ps, jen i was wrong, the BB map is under "BB space" on the main web page IV. Miscellaneous - archiving asa-exec email on a local disk good! it would eliminate need for exec to save email on their personal athena locker o may want to have an external (for groups to email us) and an internal (for our discussion) list so that they get saved separately - we should communicate with athletics more because a lot of their issues need more than just us forwarding minutes... - class I vs class II: class II doesn't vote ans usually affiliated with a dept - should we ask them to attend SBMs in future? meeting ended at 10:10pm Calender: SPRING BREAK: next week!
