Minutes from 12-16-99 ASA Meeting In attendance: Jocelyn, Brian, Anna, Jen C. Timeline for SMAC office: January 20 - 21: Room will be cleaned, floors stripped and waxed. 24th - Place down paper/indicators where eveything will go. 25: Office Depot delivers new stuff MIT Movers tentatively scheduled for 25th, to move stuff out and also to move stuff in after office depot delivers. Payment: we have $500 from budget proposal to pay for movers. CAC will pay for movers above $500. We may want to pay for whole thing since CAC has a tight budget. 26: Finalize organization of group locations, new group space, etc. Everything should be ready by the 26th Tentative: Groups can move in on the 27th-28th. Issue: What to do with unclaimed objects in SMAC? Come Saturday (12/18) objects in SMAC that are unclaimed will be relocated at Anna's discretion. Issue: Lock Lock is busted. Ted put in request for new lock. WE'd like to get electronic (athena-type) lock -- but this wil take a long time. We'd like to get something functional soon. We will get a new combo lock ($600). Should take about a week. Will also be talking to lock shop to put fixtures (padlock fixtures) on new furniture. Will disable small key locks on large storage cabinets, install fixtures, and have clubs do padlocks. Office Depot requisition has been sent in. Issue: Temporary Storage Only people to request is FSA (2 small boxes). We are asking the groups to try and deal with it the best they can. Issue: misc Insurance (for movers, etc) is covered through movers. Carpenters will show up sometime before 20th to remove couch. There are desks to be moved out -- we must decide where to put them (Walker?) Jen and Anna are now in charge. They will set a meeting time in Jan to discuss SMAC stuff. REROOMING Timeline Jan 31 -- Initial Allocations reported Feb 10 -- Protests Due (groups may file written protest, and must orally appeal) Feb 10-18 -- Appeals (oral appeals) -- 5 ASA people needed at each meeting Feb 18 -- Last day of hearings Mar 4 -- Release allocations Mar 7 -- Petition deadline Mar 9 -- GBM 1 -- Present Office allocations (rooms, groups, etc.) Apr 11 -- GBM 2 -- Elections If you want to petition, you must get 25 student activity signatures in support of a NEW IDEA/PROPOSAL, to present at the GBM for vote on students. SMAC office is excluded from "office space" since it's a little ambiguous what "office space" is in regards to SMAC. Jen C will pick a meeting time in Jan to discuss rerooming.
