present: jenn chung, jocelyn, jessica, jon Agenda: 1. new recognitions - SAPA - others? 2. locks update - jocelyn 3. midway - (alvar, jenY, jon) - possibly punted, e-conversation 4. SAD distribution 5. financial matters and derecognised groups 6. shirts 7. other stuff, etc. ************************************ I. new recognitions - SAPA - technical issue of their overlapping purpose with other groups still. seems more legit since we last looked at the group's constitution in january. purpose seems directed atgrads/postdocs. *need recognition to request rooms and possibly gsc funding. *only other problem was the officer election date. *JenC will deal with. - STC - still the issue that that they are a company. however, STC does not make a profit, more of a job matching program. *want recognition to prove that they are a student run group. *table until next meeting. *invite to office hours? will ask SUSAN -Mock Trial - wants to be derecognized so that they can be started anew by mike hall. *been defunct since founding because of nonpayment of dues. *will let sleep til fall II. locks update - jocelyn Key Office likes Omnilock, Locks likes Lockinetics. *still don't have price info. *don't know how much programming ability the lockinetics has. *almost coming full circle back to keys. afraid groups will be irresponsible and not change their combos *big picture prob: talk of creating an endowment to change to three cylinder locks *ASA at this point (consensus of those present) is still in favor of combos. III. midway - (alvar, jenY, jon) - possibly punted, e-conversation From Alvar's email: - We assigned 'resources' to all groups (elec, performance, etc, etc) - We assigned a total of 235 tables already; no late groups, sorry -- The old plan has space for 231 tables, we'll figure out how to put in four more to not deal with assgnments again (shoudl not be too hard) - We are contacting lots of groups that talk about a TV/VCR but did not actually ask for one (sent e-mails today) - Jen today received the lists of all groups with performances and Music -- ONLY WMBR, FolkDance, and ISA (if they agree) will play music aloud. -- WMBR will do a live transmission -- FolkDance will organize, together with Jen, all the artistic performances -- ISA may organize, if they agree, all the cultural music -- Cultural groups will NOT be allowed to play music, and do NOT get electricity for that; they only get elec for TV or special stuff they want to bring in -- Artistic music groups will be given electricity to play music WITH HEADPHONES; if they don't agree to use headphones they will not be given electricity - I think we want to get a really nice big banner for the ASA, and I'll look into it and get back to the group (if its less than $200 I'll just order it, btw, unless you guys heavily oppose it)... it will be reusable every year. General idea: Welcome to the AA SSSSS AA AA AA SS AA AA Activities (big) AAAAAA SSSSS AAAAAA AA AA SS AA AA Midway (big) - We'll try to make sure to have t-shirts by the Midway, but we need design ideas, don't forget to talk about it. ----------------end transmission *we love the banner idea. go alvar! *are we looking into mitpress decorating again? no streamers though. balloons are great. *idea: radios from cac for communicating. *idea for checkin: have them sitting at the tables at 5:30 and volunteers will walk around all the tables to checkin IV. SAD distribution From Alvar's email - Liz wants 1100 for the Freshmen, during the 1st week of August - They also want some for Advisors... I'm not quite sure how many, but around 200 should do - I have not contacted GSC about when they want them, but they want 1000 - I gave Katie (and RLSLP) one box, total of 70 - I don't have more ideas yet... ------------------end transmission *JenC will find out about # of advisors *surplus can go to waiting rooms around campus V. financial matters and derecognised groups Meeting last Thursday about derecognized groups with surplus/debt: JenC and Philip *should UA pay debt off, etc *keeping accounts frozen for a year is reasonable. VI. shirts Should they be something to distinguish us just at the midway or to be fashionable to wear often? *Jon's idea: black shirt, on front ASA small, possibly with beaver -big 'impact' font on back *liked by rest of officers present. fashionable but attn getting VII. other stuff, etc. Moving has happened. JenC now has a list of groups that haven't gotten around to it and will police groups.
