2010-03-16 Attendance: Keone, Rebecca, Alex, Tony, Nicole, Matt, Zhao >>Meeting with Chris Colombo Keone's meeting with Chris Colombo tomorrow to talk about getting space for ASA groups in N51/N52 and about the general importance of student groups at MIT. If there's anything else you think Keone should talk about with Colombo, email Keone tonight. >N51/N52 Student Activities space is competing with a couple of other proposals for space in N51/N52 vacated by the architecture dept moving to the media lab. Keone's going to talk with Colombo about student groups and why they need space. MITERS and Tech Model Railroad are there, so maybe we can pitch that it would be good to have some of the workshop-style groups there. >>Small Activities Office Cleanout People in the ASA are hosed with midterms, so perhaps Thursday isn't the best time. Second Saturday of spring break? Tony will send out a Doodle to see when people are free. >>LEF/ARCADE Friday at 5pm. >>Policy Discussions We need to respond to Panhel; sooner was better. Keone will talk to Diana (Ryan?) about early returns; Matt's in charge of reminding Keone to do that. >Panhel [internal discussion] Intended changes: Allow groups to take signups, but not advertise for signups, i.e. if prefrosh contact a group, that's okay, but the group should not contact prefrosh first. Restrict physical postering during orientation - 1 8.5x11 poster/board/group Currently groups can't have events until after Orientation ends - this will remain. We'll present the draft at the GBM and see what feedback we get and decide how to proceed from there. >>Proposed Recruitment Rules Revision: == Advertising == During the blackout period, no active, broadcast advertising is allowed. Permitted advertising methods include: * Group website (group.mit.edu, web.mit.edu/group/, etc.) * Facebook groups * FYSM * Postering * On public boards (one per group per board, no larger than 8.5"x11", and not in violation of any other postering rules) * On group's private boards * Contacting individuals who... * were known to group members before the start of the summer, or * who have signed up to be contacted (e.g., on a group website, joining the Facebook group, by emailing the group, etc.) Disallowed advertising methods include: * Inviting freshmen to join Facebook groups (excepting those who can be contacted under the terms above) * Mass emails (excepting those who can be contacted under the terms above) * Handing out flyers on campus (excepting at the ASA (recruiting) Midway) * Groups must not evade these restrictions by encouraging others to do this sort of advertising on their behalf == Events == Events are restricted between the start of the blackout period to the end of orientation. During this period, groups may not hold events that include a recruiting component. Additionally, groups may not hold open events that they would not ordinarily hold during the rest of the year. The ASA Executive Board shall have discretion in interpreting these rules. For clarifications or exceptions, contact asa-exec@mit.edu. >New Groups Having a room that unofficial groups could reserve for meetings would prevent groups from applying just for reservations. Yearly review: every group needs to submit a form w/ description of activites over past year, events they've organized, how they've added to life at MIT. Alex and Rebecca will work on drafting policy for new groups.
