1) All projects received by ASHA-MIT must be documented. Those that are screened and found unsuitable may be placed in the projects folder. If there are several projects to be evaluated, it should be distributed amongst projects group members for the initial screening. All the information available should be forwarded to the projects-coordiantor for record-keeping.
2) Two members of the projects group will evaluate one project. They will review all the information available and come up with a detailed summary with all the relevant details included in it.
3) The project summary will then be posted to the group atleast one day prior to the projects meeting. It will then be discussed during the projects meeting. The reviewers for the particular project will be respnsible for answering any questions that come up about the project. Any concerns about the project that don't have to be discussed by the group as a whole can be addressed at a different time to the reviewers, in order to ensure effective time utilisation at the projects meetings.
4) All the relevant concerns that come up about the project will be noted by the reviewers. A questionaire and a letter requesting specific infrmation will be sent out to the respective NGO. This will also be the responsibility of the people in the projects group who reviewed the particular project. This information should be obtained as quickly as possible.
5) Once all the information has been obtained, it will be forwarded to the projects coordinator who will then convene a meeting to re-discuss the project for funding. If all th einformation is already available, then funding fort hat project could be decided in one meeting itself. If more than one project needs to be discussed, the coordinator will use his/her discretion in scheduling meetings. At this meeting, the projects group members will go over the information and decide on funding of the project. If a consensus cannot be reached, it will be a vote by majority amongst the projects group members.
