Company presentations for spring 2020 may be scheduled through this website. The spring schedule runs from February 3 through April 17, 2020. Presentations may start no earlier than 6PM and end no later than 10PM. Company presentations may not be scheduled on MIT Holidays and are only available to a limited number of Spring Career Fair sponsors during the week of the MIT Spring Career Fair (March 30 - April 3). Excluded dates: February 17 (MIT closed for Presidents' Day), March 30 - April 3 (Spring Career Fair week).
Due to limited space on campus and a high volume of requests, presentations the week of the Spring Career Fair may not be available to all Spring Career Fair sponsors. Please visit the Spring Career Fair site to learn more and register at this page.
The company contact who submits a request form is responsible for informing their company representatives of the policies listed on this page.
Company Presentation Fee
The cost to request a company presentation is $350.00.
Please note: Requests from organizations with outstanding balances will not be confirmed until the balance is settled.
If you prefer your presentation to be held in Stata Center classroom, an additional $100 charge will be applied. Please forward your room request acknowledgement to email@example.com to make note of your preference; an updated invoice will be sent if we are able to accommodate your presentation in the MIT Stata Center.
A classroom, coordination services, and posting of the confirmed presentation date/time/location on the Career Advising & Professional Development calendar and MIT's CareerBridge powered by HandShake are included. The cost of any auxiliary services (audio visual, furniture, etc.) ordered by the employer will be assumed by the employer and must be paid for at the time that the orders are placed. All classrooms are enabled for wireless internet access.
Please note: Classrooms and lecture halls that are reserved for company presentations are equipped with desks and/or tables and chairs which cannot be removed from the room.
How and When to Book a Presentation
Requests for company presentation rooms, along with related AV equipment and furniture rental, must be made by submitting an online request form no later than ten business days in advance of the targeted presentation date. A credit card payment will be required in order to successfully submit the request form, and an auto reply email will acknowledge that your request has been received for processing. Please note that it can take up to ten business days for schedulers to identify availability of a presentation room. Once a room is identified, you will receive an email confirmation including your room location and information about catering options. If your request cannot be confirmed, you will receive an email notification, and alternative dates can be investigated or a refund can be made in full.
On rare occasions, we may need to re-schedule or re-locate a confirmed company presentation due to other MIT activity. In these circumstances, every effort will be made to find an alternative, comparable classroom. If the presentation cannot be re-scheduled, a full refund will be issued.
Any changes to your request must be submitted in writing via email to firstname.lastname@example.org by no later than ten business days prior to the presentation. No changes will be processed via telephone.
Cancellation and Refund Policy for Company Presentations
Cancellations received in writing via email to email@example.com up to ten business days prior to the requested presentation are entitled to a refund less a $50 processing fee. No refunds (full or partial) will be issued within ten business days of the presentation. No refunds will be issued due to inclement weather unless MIT is closed due to severe weather conditions. Cancellations will not be accepted via telephone. Employers who fail to send a written cancellation notice will be responsible for all costs associated with the presentation. Organizations with outstanding balances will be denied space for future presentations.
All refunds will be made in US dollars and in the form in which the original payment was submitted.
The date, time, and location of your presentation will be submitted to the MIT CAPD Office for inclusion on the CAPD events calendar and on CareerBridge. By coordinating the session, MIT in no way guarantees an audience.

Choosing a Presentation Date
Spring 2020 company presentations may be scheduled on Mondays through Fridays between the hours of 6PM and 10PM. All presentations must end by 10PM. Presentations may be scheduled weekdays from February 3 through April 17, 2020. Presentations may not be scheduled on MIT Holidays (February 17 - MIT closed for Presidents' Day) and are only available to a limited number of Spring Career Fair sponsors during the week of the Spring Career Fair (March 30 - April 3). Prior to choosing a date for your presentation, we encourage you to visit the MIT CAPD calendar of events. Booking a date that has already been heavily scheduled with presentations may impact your attendance. By coordinating the session, MIT in no way guarantees an audience.

Please note: The MIT CAPD adheres to the NACE Professional Standards policy that states serving alcohol cannot be part of the recruitment process.
Information on on-campus caterers will be sent to you upon final confirmation of your room location. Catering requests must be made directly with the caterer. It is advised that you do not arrange for catering until your room reservation has been confirmed. Leftover catering and trash must be removed from classrooms at the end of the presentation.
Due to limited storage capacity, presentation materials, when at all possible, should be brought by employers on the evening of the presentation. If advance shipment of materials is essential, please email firstname.lastname@example.org. MIT Conference Services must be notified that materials are being shipped. Shipping instructions will be provided separately. All materials must be removed from classrooms at the end of the presentation.
Note that packages cannot be received at our office location; please do not ship to our address directly. You must email us at email@example.com for correct shipping information.
Tables for materials (or catering) are not included in the presentation fee and must be requested a minimum of ten business days in advance of your target presentation date. Some classrooms are equipped with movable tables that can be used for this purpose. We cannot guarantee the availability of this style classroom or additional tables.

Directions to MIT
MIT locations are generally referred to by number (Building-Room). The first number after the dash indicates the floor on which the room is located. For example, 12-156 would be located in Building 12, in Room 156 (first floor).

Paying by online credit card
We accept: MasterCard, Visa, Discover & AMEX. If your credit card billing address is different from the address entered on your request form, you will be asked to provide that address.
Third party payers: If you are submitting a request and payment for another person, please fill out the request form with the appropriate information for that person. When the credit card payment form appears on the monitor, please enter the requested information for the credit card holder.

Information submitted on the presentation request form will be used to coordinate your company presentation and to notify the Career Office of the reservation.
Payment must be received in full for your request to be processed.
