Fall 2008 company presentation information sessions may be scheduled on Mondays through Fridays between the hours of 5PM and 9PM. All presentations must end by 9PM. Presentations may be scheduled from September 8 through November 28, 2008.
Recruitment Presentation Fee
The cost to request a company presentation is $250.00.
What's Included
A classroom, coordination services, and posting of the presentation date/time/location on the Career Office website are included. The cost of any auxiliary services (audio visual, furniture, etc.) ordered by the employer will be assumed by the employer and must be paid for at the time that the orders are placed. All classrooms are enabled for wireless internet access. If your presentation requires wired internet access, a network drop would need to be activated at an additional charge.
Please note: Classrooms and lecture halls that are reserved for company presentations are equipped with tables and chairs which cannot be removed from the room. If you are interested in alternative space that would be suitable for a reception or other non-traditional presentation, please contact Conference Services (co-recruit@mit.edu/617-253-1700) to discuss options.
Deadlines and Process
Requests for presentation dates and any related auxiliary services must be made no later than ten business days in advance of the presentation. An online request form can be accessed at the bottom of this page. You may make payment credit card online or mail a check. Credit card payment is due upon submission of the request form. For check payments, please print the check payment form and and mail with a check. Check payments must be received by Conference Services no later than ten business days in advance of the presentation.
The company contact who submits a request form is responsible for informing his/her company representatives of the policies listed on this page.
Please note: Requests from organizations with outstanding balances will not be confirmed until the balance is settled.
Confirmation
Upon submission of the request form, you will receive an automatic response confirming that your request has been received. Once a room has been reserved, you will be sent a confirmation including the location of the assigned room. Information on on-campus caterers will be included. If your request cannot be fulfilled, you will receive notification and alternative dates can be investigated.
Cancellation and Refund Policy for Company Presentations
Cancellations received in writing via email to co-recruit@mit.edu up to ten business days prior to the presentation are entitled to a refund less a $50 processing fee. No refunds (full or partial) will be issued within ten business days of the presentation. Cancellations will not be accepted over the telephone. Employers who fail to send a written cancellation notice will be responsible for all costs associated with the presentation. Organizations with outstanding balances will be denied space for future presentations.
All refunds will be made in US dollars and in the form in which the original payment was submitted.
Changes
Any changes to your request must be submitted in writing via email to co-recruit@mit.edu by no later than ten business days prior to the presentation. Every effort will be made to accommodate changes after that time but cannot be guaranteed. Please do not use the online form to make changes as this will result in a duplicate request. No changes will be processed via telephone.
Advertising
The date, time, and location of your presentation will be submitted to the Career Office for inclusion on their website calendar at http://web.mit.edu/career/www/events/presentations.html.
Paid advertisements may be placed in the THE Tech, the newspaper produced by MIT students. The newspaper is published every Thursday and Friday during the academic year. For further information, please call THE Tech directly at 617-258-TECH or email them at ads@tech.mit.edu.
Companies may also display their presentation information on the Infinite Corridor's projector screens. Please visit the Audio-Visual Services website to read more about this option. Reservations must be made directly with the AV department by phone (617-253-2808) or email to avorders@mit.edu.

Presentation Schedule
Prior to choosing a date for your presentation, we strongly encourage you to browse the Career Offices' list of Company Presentations. Booking a date that has already been heavily scheduled with presentations may impact your attendance. By coordinating the session, MIT in no way guarantees an audience.

Catering
Information on on-campus caterers will be sent to you upon final confirmation of your room location. Catering requests must be made directly with the caterer. It is advised that you do not arrange for catering until your room reservation has been confirmed.
Materials
Due to limited storage capacity, presentation materials, when at all possible, should be brought by employers on the evening of the presentation. If advance shipment of materials is essential, please note the following:
-MIT Conference Services must be notified in writing that materials are being shipped.
-Shipping should be scheduled to arrive at the Conference Services office no more than one business day in advance of the presentation. Please note that all deliveries, with the exception of overnight deliveries, are processed through MIT's central shipping department and held there for one day prior to delivery to Conference Services.
-Materials cannot be received on Saturday or Sunday.
-All pieces of shipment should be labeled with the recruiting company name.
-Employers must pick up material from Conference Services (room 12-156) by 4:00PM on the day of the presentation.
-It is the employer's responsibility to move materials to the designated presentation room. Moving equipment (i.e., two-wheeler/cart) is not available.
-Conference Services is not responsible for locating materials shipped to the incorrect address.
-Materials that are not picked up by 4:00PM on the day of the presentation will be left unattended outside of room 12-156.
-Materials cannot be returned. Any material left on campus, whether leftover or never picked up, shall be recycled.

Company representatives may park in the following non-gated lots after 3:00PM: West Annex and Hayward Lot. There is also a small public lot on the corner of Massachusetts Avenue and Vassar Street.

Paying by online credit card?
We accept: MasterCard, Visa, Discover & AMEX. If your credit card billing address is different from the address entered on your request form, you will be asked to provide that address. A separate confirmation will be sent to the email address you enter on your request form.
Third party payers: If you are submitting a request and payment for another person, please fill out the request form with the appropriate information for that person. When the credit card payment form appears on the monitor, please enter the requested information for the credit card holder.

Information submitted on the presentation request form will be used to coordinate your company presentation and to notify the Career Office of the reservation.
Paying by check? Check payments must be made in US dollars, drawn on a US bank and be payable to MIT. Please complete the online request form and mail the check payment form to the address below with a check made payable to MIT. Please allow enough time for the check to arrive by the deadline.
