If there are no private comments, eliminate the green text, and do not even include Section 3 in your report. If there are no process improvement comments, eliminate the blue text and do not include Section 4 in your report.
In the case of a finding of "Recommend Accreditation"
Thank you for the good visit and for your participation in the AILG accreditation process. Our report is attached, which I am also forwarding to the Accreditation Coordinator, John Covert. Within five business days, please send any comments your alumni organization would like included with the report to John at covert@mit.edu. John takes care of combining your comments, if any, with the report and sending them to the Dean's Office as well as summarizing all reports at the end of the year.Section 1 (the accreditation result) will be posted publicly. Section 2 (general comments), together with your comments, will be sent to the Accreditation Committee, the AILG Board and to MIT administrators. Section 2 and your comments will also be included in the annual "full report" which may be requested by any member of the FSILG Community, but only the annual summary report will be posted publicly. Section 3 (private comments) will be distributed only to your organization and our visiting committee, but the accreditation coordinator will retain them in the archives separated from your report for ten years.
Section 4 (possible process improvement) is intended for the Accreditation Committee and will not be part of your organization's report.

We would like you to have the opportunity to provide comments on the updated report. If you previously commented, your previous comments will be used unless an update is received. An update is assumed to completely replace any previous comments you may have made.
