Help for Entry Directory Administrators
Running the Admin program
Log in to athena and type:
athena% add e-entry
athena% EntryAdmin
Only people who are on the list e-entry-admin will be able to do anything
useful with this program.
Editing the questions
This allows you to change the questions asked in the directory questionnaire.
If you are running the admin program from an athena terminal, or from a dialup
that supports XWindows, you may use option 'e' from the "Main Menu" in the
admin program.
If you don't have XWindows, do not use the admin program to edit the questions.
Instead do:
athena% add e-entry
athena% emacs /mit/e-entry/EntryDirectory/accounts/questions
Note:
-
The following questions are always asked and don't have to be in the
questions file: "Name", "Macgregor Room", "Macgregor Phone."

If you change any questions, you need to delete all the user accounts and
add them again for the questions to propagate down (see below).

Remember to save before quitting emacs!
Setting up the accounts
This allows you to choose who can submit completed questionnaires.
A special list has been setup for this purpose called e-entry-directory.
Add all the people you want on to it. You can also add other lists,
eg: e-entry-residents. Then follow the instructions below:

From the admin program choose "Main Menu" option 'a'.

Delete all of last year's account data by choosing option '4' from the
"Accounts Menu"

add this year's accounts by choosing option '2' from the "Accounts Menu" and
adding the list e-entry-directory

you may add further accounts by choosing option '1'.
That's it! all the accounts have been setup. Now get people to
fill in their questionnaires!
Compiling the directory
After everyone has finished answering all the questions, the directory can
be compiled.

Choose option 'p' from the "Main Menu" to get the Printing Menu.

Choose option 't' from the "Print Menu" to compile the stuff.
This produces a Latex file (.tex) which can be printed or made into an HTML
file so that it can be viewed via a browser.
Creating an HTML version of the directory
Before printing the directory, you should create the HTML version so that
everyone can look at their contributions (on the web) and make sure that
everything is as it should be.

Make sure the directory has already been compiled into Latex (see above).

Choose option 'p' from the "Main Menu" to get to the Printing Menu.

Choose option 'h' from the "Print Menu" to convert the Latex file to HTML.

it will ask you for the name of the directory in which to put the html files.
Choose the default (it'll be something like "Fall1999-Spring2000").

The HTML files will now be created.
Go Back and access the appropriate
restricted link to view the web version of the page. People may continue to
update their questionnaires, but the directory must be recompiled into Latex,
for their changes to get propagated onto the final product.
Viewing and Printing the final product
This allows you to view what the entry directory will look like, and finally,
print it. I assume that the directory has already been compiled into Latex.

Latex cannot be directly printed - first convert latex into dvi by choosing
option 'd' from the "Print Menu"

if you have an XWindows system, this dvi file may be viewed by choosing
option 'v' from the "Print Menu"

finally print the dvi file by choosing option 'p' from the "Print Menu."
You need to give a printer name, for example, "macgregor" or "ajax"
that's it!
