Advising Right Now: Sample Welcome Emails

We hope the sample emails provided below give you ideas for what to include in your welcome emails to your advisees. It's your choice whether to send the same email message to each of your advisees (as in Sample #1) or to the entire advising group (Sample #2).

These are just examples - feel free to personalize in your own way. Just be sure to provide the critical meeting information.

First, be sure to read all the information about Meeting Your Advisees During Orientation.

Please copy Elizabeth Young (ecy@mit.edu) on your welcome messages, We want to have the information to share with your students in the (likely) event they lose this information or get lost on their way to see you!

If you will NOT be on campus:

Dear Robert,

Hello and welcome to MIT! I'm sure that you are excited to be here and nervous about your first term. As your freshman advisor, I am here to help you get started, to answer questions, to provide perspective, and to be an ongoing point of contact for you throughout your first year.

Our advising group also includes an associate advisor Jeremy Bentham, a junior in Electrical Engineering with a minor in Political Science.  Jeremy and I will meet with you regularly on an individual basis to talk about your progress. We will also meet occasionally during the year as a group to share experiences, to discuss problems, daily events, progress in classes, and to eat and socialize!

Jeremy and I will first meet with you and our other advisees on Tuesday, August 26 from 3:30-5:00 pm in [my office, room 7-104]. During this time, we'll do introductions, talk about advising expectations, and set appointment times for individual registration meetings on Thursday, August 29.

At our Thursday, August 28 registration meeting, Jeremy and I will expect you to have a good idea of what subjects you plan to take in fall term, as well as a tentative schedule worked out. So, please be sure to attend the Core Blitz and Academic Expo on Tuesday, August 26.

Important note: Please be sure to bring either your laptop or Smart Phone to our registration meeting! We will be completing your registration online.

Let me also add a few words about myself. My degree is in Human Development, and for the past 12 years, I've been at MIT in the ABC Lab doing research on how babies learn to process information. I've been advising freshmen for the past 10 years and it makes a welcome change! Outside of MIT, I love to cross-country ski, hike, fly kites, watch TV, go to Kung-Fu movies, and listen to jazz (Diana Krall is a favorite).

Once again, welcome to MIT. I'll see you on If you have any questions in the meantime, be in touch!

Welcome to MIT! I'll be your academic advisor this year, and will be leading our freshman seminar this fall on [SEMINAR TITLE].

I'm sure you'll find MIT to be a challenging place filled with amazing opportunities. Still, there will be plenty of questions and concerns as you begin your college career, and I hope our seminar will be a relaxing forum in which we can share experiences and discuss how to make the best of MIT. We'll be joined by our student associate advisor, Billy Kidd (thekidd@mit.edu), a senior in Mechanical Engineering,

Important note: Please be sure to bring either your laptop or Smart Phone to our registration meeting! We will be completing your registration online.
