Green Hall Officer Duties
There are three officer positions: President, Treasurer, and
Secretary. This page is just to give you a general idea of these officers'
individual as well as shared responsibilities.
President:
The president acts as a representative of Green Hall and functions to involve Green Hall in campus-wide activities, as well to promote an enjoyable living
environment within the dorm. Duties include:
Financial:
Write annual proposal for funding from Dean's office
Submit funding requests to Graduate Student Council (GSC) for social activities and capital expenses
Look for other sources of funding.
Determine how to allocate funds for various activities.
Social:
Plan social activities, including dorm events within Green Hall, as well as events with other student groups.
Work closely with Graduate Student Council and other graduate dormitories to plan joint events.
Work together with the other officers and housemaster to plan social activities.
Plan orientation events each fall.
Facilities:
Deal with dorm lottery issues, change of room requests, or anything that needs overseeing by the Green Hall officers, housemasters.
Communicate with Ashdown House regarding gym use by Green Hall residents.
Pass on complaints to the House Manager, and inform him/her of any problems with the Green hall building, facilities
Treasurer:
The treasurer's responsibilities are:
Pay bills for cable, newspapers
Reimburse people for various expenses
Keep detailed records of all money transactions
Make deposits in the bank
Submit account reports to the Residential Life and Student Life Programs Office (RLSLP)
Submit funding applications to GSC and other groups
Fill out reimbursement forms for GSC and other groups
Help organize dinners, and other social events if necessary.
Secretary:
The secretary's responsibilities are:
Update and make public the Green Hall Information Guide, to be distributed during orientation each fall.
Maintain, and update the Green Hall email list
Make signs and posters for dorm activities
Maintain the Green Hall web page
Handle parking applications and parking stickers issues
Handle movie / game checkouts
Keep track of printer, informing others of what to do in the case of a problem
Buy printer supplies (toner, paper), and other items Green Hall may need
Help organize socials
Shared Responsibilities:
The following tasks can be shared/split among the three officers. Some may already be listed under the appropriate roles above:

(this should be done by the Green Hall rep and/or other officers, if they are not the same people)

- Monthly Dinners (or 3-4 times/semester)
- Holiday Potluck Events (Thanksgiving, Christmas, Easter)
- Finals Week study breaks (joint with Ashdown)
- Theatre, Movies, Museum, Ice Cream outings
- Movie nights, board game nights, TV sports nights (superbowl, etc.)
* Orientation
- Green Hall information packet
- Social events, joint with other dorms, GSC-sponsored events, may also
obtain GSC funding for separate events
- Green Hall pancake breakfast
* Miscellaneous
- Printer issues: buying paper, ink cartridge, etc.
- Room lottery
- Make sure each floor has an officer that is in charge of buying cleaning supplies for the floor,
organizing kitchen cleaning socials, getting votes on newspaper vs. cable, etc.
- Order newspaper for the whole dorm (to be kept on first floor table)
- Meet with Housemasters regularly to discuss dorm issues
* Possible items to work on in the future
- Modification of the Room Lottery
- Making an electronic copy of the constitution with any needed changes
- Addition of another office (?)
- A more complete web page with floor plans, pictures of the dorm, etc.
- House Tax increase
