Welcome to Graduate Housing's on-line sublicense system
    How to use this system
  1. Residents interested in finding sublicensees for their accommodations through this on-line system must complete this form.
  2. Submitted forms are collected, compiled, and displayed on the Sublicense Listings page.
  3. Potential sublicensees (those looking for a sublicense) contact residents (those looking for a sublicensee).
  4. Once matched, the sublicensee must confirm the match with the Graduate Housing Office. This can be done by completing a sublicensee application. Sublicensees must also provide proof that they are MIT Affiliates (either an email from their department sent to graduatehousing@mit.edu or by providing an MIT ID Number if they are registered students).
  5. The resident must also confirm with the Graduate Housing Office that (s)he has a match with a sublicensee, either by emailing graduatehousing@mit.edu with the name of the sublicensee and the dates of his/her stay, OR completing a request form to have his/her advertisement removed from the listings page. Please note that if the resident does not complete a request form his/her advertisement will continue to be displayed on the Sublicense Listings page.
  6. Once the Housing Office receives written requests from both the resident and the sublicensee, it will confirm the sublicensee's MIT affiliation and send written confirmation of the sublicense to all parties.
  7. Please do not exchange any money until you are approved. Not all sublicenses are approved.
  8. Both resident and sublicensee are responsible for reading, understanding, and complying with MIT's sublicensing policies outlined below.
    MIT's Sublicense Policies

  1. Only affiliates of MIT — students, faculty, staff, and visiting faculty, students, and scholars — are eligible to sublicense apartments. (Alumni, families of students, and Draper, Whitehead, and Broad employees are not eligible.)
  2. Rooms in the Warehouse (NW30) are not eligible for sublicensing. See your Graduate Housing License Agreement for more information.
  3. Rooms in Single Housing are available only for individuals. People looking for housing with their partners and/or children may only sublicense in Family Housing (Eastgate and Westgate). Note that the affiliate must be living with his/her family in the unit. Current residents may not sublicense for other family members.
  4. Mixed gender suites are acceptable for sublicensing only with the written approval of all roommates.
  5. Once a resident and an affiliated sublicensee establish sublicensing arrangements, both the resident and sublicensee must confirm with the Housing Office (see 4 and 5 above).
  6. The resident will continue to be billed as usual during the sublicense period. The resident is responsible for collecting housing fees from the sublicensee.
  7. The resident may not charge more than the 2009-2010 regular housing fees (click here for 2009-2010 housing fees), though (s)he may request a refundable deposit from the sublicensee.
  8. Sublicenses are possible for the summer and IAP only - from May 14 to September 13, 2009 (August 15, 2009 for licenses that expire August 15), or December 11, 2009 to February 7, 2010.
  9. The relevant house manager will be notified of the sublicense arrangement by the Graduate Housing Office.
  10. Sublicensees are required to respect all of MIT's rules and regulations, all applicable State and Federal laws, as well as the rules and regulations of the building in which they will be living. See your Graduate Housing License Agreement for more information.
  11. The resident should make arrangements directly with the sublicensee to transfer the keys. Do not leave keys at the building front desk. When the sublicensee arrives, (s)he should see the building manager to get a building access card.
  12. Please remember that this is an agreement between MIT Affiliates and not an agreement with MIT Graduate Housing.

Scam Alert: MIT students have been approached by a scam where you are sent a check for more than the amount you are charging and you are asked to return the balance to the person who sent the check. This is a scam. More information is available from the Fraud Information Center.

Please remember, all sublicense agreements must be approved by MIT. This form is intended to help with the process of locating apartments and sublicensees. BOTH parties must contact the Housing Office when they have found a match, either by completing both the Removal Request form and a sublicensee application, or by email.
