Forms for Managers: Approval Process for HR Actions & Appointments

Academic Appointments

Academic Paid

  1. All paid Academic actions are required to be on the new Excel form.
  2. One paper copy of the form is sent to the Dean’s Office for approval.
  3. The Dean’s signature is required on the form. (The approval process has not changed.)
  4. The Dean’s Office will forward the signed form to the HR Payroll Service Center.

Academic Unpaid

  1. Appointments that include “Professor” as part of the title, or a Faculty equivalent rank such as Senior Research Scientist or Senior Lecturer, require the signature of the Dean. Appointments and promotions to the Senior Research Scientist and Senior Lecturer levels require the review and approval of the Science Council, Academic Council and the Executive Committee. See the School of Science Human Resource Procedure 8.2.
  2. Academic unsalaried appointments that do not require approval from the Dean’s office are the ranks of Visiting Scientist, Research Affiliates, and Lecturers. These appointment forms should be sent directly to the:

Chairs

1. All Faculty Chair appointments regardless of chair origination are now being handled by the Dean’s Office. This means that the Dean’s Office will generate the appointment forms, set up scholarly allowance and SWEB accounts ( if needed) and send the notification letters to the faculty chair holder, with a copy to the Department Head, AO and FO.

Non Academic

The approval process for HR actions has not changed, however the forms are new and processed via the web. Therefore, the proposed action must be approved before processing the electronic form.

* Note: Promotions to the rank of Principal Research Scientist and Senior Research Scientist require the approval of the Science Council. Appointments and promotions to the rank of Senior Research Scientist also requires approval of Academic Council and the Executive Committee. See MIT Policy and Procedure section 5.0 and the School of Science Human Resource Procedure, section 8.

Employee Terminations and Layoffs

All involuntary terminations require the Dean’s approval prior to processing. The layoff policy is covered in the Dean’s April 30, 2002 memo. The memo is posted on the School of Science Operations Manual web site section 10.
