Team Meeting Roles
Facilitator
In addition to Team Practices,
it is important to understand Team Roles, and who is expected to
do what during a meeting. The designated facilitator is expected
to:
- Facilitate team meetings
- Ask questions
- Raise choices available to the team
- Surface conflicts that may be blocking team progress
- Keep the team focused
- Make sure everyone participates
- Make sure there is a daily work plan
- Make sure action items are followed up on
- Keep the team on track with its ground rules, especially with
regard to mutual respect and listening
This role can be shared and/or rotated.
Recorder
The designated recorder is typically expected to:
- Scribe on flip chart, white board, or other visible format
- Record key points, decisions made, and action items
- Capture the intended meaning
- Transcribe into email, Word or Excel (electronic whiteboard
output can be copied for team, vs. transcribing)
This role can be shared and/or rotated.

Team Member
Each team member is expected to:
- Prepare for the meeting
- Stay on the agenda
- Keep an open mind; be flexible
- Respect others views; listen
- Allow everyone an opportunity to speak; don't dominate
- Share your thoughts and ideas with others
- Take initiative; 'just do it'; volunteer for action items
- Think like a customer
- Work for 'we', not for 'me'
- Be accountable; do what you said you would do or what the team
agrees members will do
