Policies

General

  1. The International Fair and the International Students Association are non- profit.

  2. I-Fair is non-political. Flags and other country attributes permitted in the Fair are only those of countries included in the International Students Office list. If you need a copy, please contact one of the I-fair organizers.

  3. Everything done in the Fair must agree with the policies. Failure to do so will result in your immediate disqualification of participation in the Fair. Any uncertain practices must be reviewed by the ISA execcom and appropriate action will be decided on.

  4. Respect others, including ISA and I-Fair groups. Obscene or offensive behavior automatically disqualify your participation.

  5. No hazing is allowed. Please observe institute rules.

  6. I-fair is alcohol and drug free.

  7. You must have at least one contact person between your club and I-Fair committee. You must provide this person name, address, phone number and email.

  8. You must attend the meetings of the I-Fair logistics committee.

  9. You must electronically submit the I-Fair forms by April 14, 11.59 pm indicating you preferences and requests.

  10. You must keep us postered about the contracts that you are making with professional performers outside of MIT.

  11. Violation of any part of the policy will be noted against your group's participation in future I-Fairs and could result in a fine, as necessary.

  12. We reserve the right to change the policies.

Booth/Setup/Food

  1. We provide the stage for the Fair (i.e. the tables, chairs, space and electrical outlets); the rest is furnished by the individual groups.

  2. The booth assignment will be based on a lottery system with priority given to those who submit the I-Fair form earlier, although religious (and other special) conflicts can be taken into consideration upon request.

  3. Each club will have one long 6' x 2.5' table and up to three chairs for each group (number of chairs upon request). Special requests may be granted given a convincing proposal (submit early!) and the availability of furniture and space.

  4. The contact person(s) must come at 8 am on the day of I-Fair to pick up the table and chairs to set them up at the assigned place, bring back the allotted furniture to the general place by 6 pm in the right number and condition, and sign for checkout. Through the Fair day, the person(s) must be responsible for any damages to the allotted furniture: theft, dirt, and broken pieces; must cleanup the table, chairs, and the surrounding area; must take one turn during the day to empty the garbage can near his/her group (you will be called if you don't take the initiative); must be responsible for any mess made in the kitchen.

  5. You need to bring your own extention cord if you are to use the electric outlets that will be available around the Fair ground on the day of the Fair. A suggested chord is heavy duty 10 ft. .

  6. You may warm your food with electrical elements. No gas or coal burners are allowed at the booths. Cooking should be kept to a minimum. Suggestions include preparing the food in advance and using the kitchen for warming up the food. The BBQ pits can also be reserved under special request. Please refer any question to CAC (the representative is Ted Johnson, tej@mit.edu x3-3913).

  7. Do not cook or dump trash on grass.

  8. You may bring audio/visual equipment to the Fair (a suggestion would be consulting the audio/visual department, room 4-017). You may show cultural videos, for example. The volume should not be too loud so as not to disturb other groups.

  9. For the wall space, you can tape on the windows or the window frames from the outside only.

  10. You can bring bulletin boards, slideshows, overheads etc. but we will have neither screens nor wall space specifically designed for this. If you are planning to use overheads, slideshows etc. and your booth is located against Kresge, you can arrange to use this your wall space as a screen. You should make good use of the outer periphery of the Fair ground as it provides more space.

  11. You are to bring informative publications.

  12. You may sell food, souvenirs and legal items. We do not provide these. You keep the money for what you sell.
