New IS&T Employee Orientation: Administrative Assistant Checklist

Prior to New Employee Arrival

  • Meet with IS&T Human Resources (IST-HR) Team member to review roles in new employee orientation.
  • Fill out the items in the Contact Information Sheet not filled out by the Supervisor.
  • Call employee with reminder to complete and submit HR forms.
  • HR will send new hire a letter and package of information, including their MIT ID. IST-HR will also have the MIT ID information.
  • Have employee's workstation/cubicle/office set up with computer, office supplies, directory, phone (with active phone number and voice mail, etc.), nameplate/door sign. Contact DITR for computer set up information.
  • Set up (physical) mailbox.
  • Place employee on mailing list(s) for hardcopy and electronic correspondence. If Administrative Assistant/Site Team does not have rights to do so, the Supervisor will have to do it.
  • Arrange for a proximity card for the new employee.
  • Order business cards, if appropriate.

First Day

  • Meet with new employee to make sure he/she is settled into their work area, already set up with immediate work needs met.
  • Give the new employee his/her proximity card.

First Week

  • Make sure new employee has obtained MIT ID card, parking permit or MBTA pass application.
  • Make sure employee is provided with office resources necessary for their work.

Second Week

  • Find out if new employee needs to make arrangements for: Tether account; credit card application(s).
