Vacation Policy
The MIT vacation policy for Administrative Staff and Support
Staff can be reviewed by visiting MIT's Human Resources (HR) web site.
Administrative Staff Vacation Reporting
All IS&T Administrative Staff are expected to report their vacation to ist-vac-reporting@mit.edu.
Reporting vacation to vac-request can be done prior to the planned vacation, such as including vac-request@mit.edu
in the email to colleagues regarding an absence. It can also be done after the fact (given that plans can sometimes
change.) The person requesting vacation also needs to identify whether the time is
regular vacation or "5th week" vacation, if applicable.
The vacation administrator, who is behind ist-vac-reporting, will enter the time into centrally maintained Vacation
Tracker spreadsheets. More specifically, a spreadsheet has been set up for each IS&T Admin employee, using
the HR Vacation Tracker tool. Although any employee can
download the tool, the centrally maintained files are considered the official IS&T record. It is up to the employee
to ensure their personal records and central records are in synch. If you have any concerns, email
the IS&T Human Resources (IST-HR) Team.
Vacation Transfers
Administrative Staff employees who transfer in from elsewhere at MIT, or staff who are promoted from Support Staff,
should send their current vacation balance to ist-vac-reporting@mit.edu, to initialize
their IS&T vacation tracking.
Administrative Staff Vacation Balances
IS&T Administrative Staff can request vacation balances by sending an email to ist-vac-reporting@mit.edu.
You will be sent a hardcopy of your vacation record. If you have any corrections, mark the hardcopy and return to
vacation administrator who sent you the report.
MIT's policy regarding the maximum vacation balance can be reviewed online.
People with part time appointments as well as people who have a change in % appointment will frequently notice
errors in their vacation. Please contact the IS&T Human Resources (IST-HR) Team if you have any concerns about your balance.
