MITvoip Telephone: Answering and Directing Incoming Calls

Overview

This page explains how to answer incoming calls and use the hold and transfer functions. For additional information about phones with more than one phone number, see Multiple-Line Phones. To learn about call management on a shared line, see the Shared Lines documentation.


Answering a Call

When you receive a call:

The phone will ring, a green light will flash quickly, and the line's icon will change to a ring symbol. The display will show you information about the incoming call.

When you answer, the line indicator will change to a steady green light, and its icon will show moving arrows.

You can pick up the call on the handset, speakerphone, or headset.

To answer with the handset:

Pick up the handset. You will be connected to the first incoming call.

To answer with the speakerphone:

Do one of the following:

  • Press the line key for the incoming call while the handset is on the hook.
  • Press the Answer soft key.
  • Press the Speakerphone button.

You can change to speakerphone at any time by pressing the Speakerphone button.

To answer with the headset:

Press the Headset button. You must have a headset connected to your phone.

To have calls connect to your headset by default, activate Headset Memory Mode.

To end the call:

Press the EndCall soft key. Alternatively, hang up the handset to end a call on the handset, or press the Speakerphone or Headset button to end a speakerphone or headset call.

Deciding Not to Answer an Incoming Call

If you do not want to answer a call that is ringing, you have a few options:

  • Do Not Disturb stops your phone from ringing for all incoming calls.
  • Reject/Silence allows you to ignore only the call that is currently ringing.
  • The MITvoip Web Interface offers various ways to divert calls, including call forwarding, do not disturb, and call screening.

Putting a Call on Hold

If you have a shared line or receive a very high call volume, see Shared Lines or Multiple-Line Phones for information about additional features.

To put a call on hold:

Press the Hold button. Or, if a second call is ringing, press the ringing line key to automatically place the current call on hold.

The line's indicator light will flash green slowly while it is on hold. Its line key icon will change to a phone with the receiver upside down, and its listing on the display will read Hold.
Hold: 6175553467 (If available, the name of the caller might appear instead of the number.)

While a call is on hold, you may use other line keys to answer or place calls. Press an open line key or the NewCall soft key to place a call. If all of your line keys are in use, you cannot answer or place any more calls. Additional incoming calls will be diverted to voice mail.

To retrieve a call:

Do one of the following:

  • Press the Resume soft key.
  • Press the line key where the call is on hold.
  • Press the Hold button a second time.

Transferring a Call

If you have a shared line or receive a very high call volume, see Shared Lines or Multiple-Line Phones for information about additional features.

There are several ways to transfer a call:

  • A "warm" transfer: You speak with the third party while the caller is on hold before sending the call.
  • A "cold" or "blind" transfer: You send the call directly without consulting with the third party.
  • Transfer a caller directly to voice mail.
  • A three-way conference call: All three of you speak together before you disconnect your end of the call, leaving the other two connected. See Conference Calls for detailed instructions.
To make a warm transfer:
  1. While on the line with the caller, press the Transfer button or the Trnsfr soft key. The caller is put on hold.


  2. Dial the number you want to transfer the call to. You may use any dialing method, including speed dial line keys, Call Lists, or the Contact Directory. To access your speed dial list, press the Up Arrow key.

  3. When the third party answers, the caller remains on hold so you can talk privately with the third party.

  4. Do one of the following:
    • To connect the call, press Transfer or the Trnsfr soft key. If you are using the handset, you can hang up to complete the transfer.
    • To cancel the transfer, press the Cancel soft key. The caller will still be on hold.
To make a cold transfer:
  1. While on the line with the caller, press Transfer or the Trnsfr soft key. The caller is put on hold.


  2. Press the Blind soft key.

  3. Dial the number you want to transfer the call to. You may use any dialing method, including speed dial line keys, Call Lists, or the Contact Directory. To access your speed dial list, press the Up Arrow key.

  4. As soon as the number is dialed, the caller will be transferred to the third party's number and will hear the call ringing.
To transfer a caller to voice mail:

Follow the instructions for a warm or cold transfer, but press *90 before dialing the extension.

Note: There is currently a bug in this feature that prevents you from transferring a caller to the voice mailbox of the number that the caller is on. For example, if you pick up a call on Jane’s line, you cannot transfer that caller to Jane’s voice mail. The vendor expects to resolve this issue in the next upgrade.
