MITvoip: Installing Your Desk Phone

Overview

Most members of the MIT community will not need to install their own phones. If your phone is plugged in and has a dial tone, then skip this page and proceed to Starting Your Voice Mail.

Use this procedure to install any Polycom model of desk phone. It will take approximately 15 minutes to complete the setup.

Wall Mounting

If you have a Polycom SoundPoint 430, you will find wall mounting instructions in the manufacturer's instructions. For other models, please write to telephone-help@mit.edu or call 3-HELP (617-253-4357).

Before You Begin

IS&T will assign you a phone number (if you don’t already have one) and create an MITvoip account for that number. Your phone’s identity will then be established on the servers that run the MITvoip system. Before IS&T ships your phone, it will be coded with identifying information, so all you need to do to install it is plug it in.

You will receive a box containing your phone, a base stand, a handset with cord, a network (Ethernet) cable, a quick start guide, and a registration card. It might also contain a power cord and/or a power adapter.

Installation Instructions for Desk Phones

Follow these instructions to install any Polycom model of desk phone. See the figure below to locate the ports.

If you have a power adapter:
  1. Connect the handset:
    1. On the curly handset cable, find the end that has a shorter straight section. Plug that end into the handset.
    2. Plug the other end (with the longer straight section) into the port marked Handset located on the bottom of the phone.

  2. Connect the phone's network (Ethernet) cable:
    1. Plug one end of the Ethernet cable into the port marked LAN.
    2. Plug the other end into an MITnet jack near where you wish to place your phone. Because the information identifying your number is stored in the phone itself, it doesn’t matter which MITnet jack you use.

  3. Connect the small end of the power adapter into the round port marked 24V DC (DC 24V on some models), and connect the other end to the power cord. Do not plug it into the wall socket yet.

  4. Attach the base stand:
    1. Be sure you have connected all the cables to the phone.
    2. Drape the cables so they run up towards the top of the phone.
    3. Align the tabs on the base stand to the slots on the phone. The outward-curving edge of the base aligns with the front edge of the phone.
    4. Set the phone upright on the base and press downward until it snaps into place.

  5. Start up the phone:
    1. Plug the power cord into a wall outlet or power strip.
    2. The phone display will light up as the automatic setup begins. You will see messages informing you of the progress. This will take several minutes.
    3. When setup is completed, the display will show your phone number in the upper left corner, a NewCall soft key label in the lower left, the IS&T name and logo, and the date and time.

Your phone is now installed. To set up your voice mail, see Starting Your Voice Mail.

If you don't have a power adapter:

You probably have Power over Ethernet (PoE). Follow these steps instead.

  1. Connect the handset:
    1. On the curly handset cable, find the end that has a shorter straight section. Plug that end into the handset.
    2. Plug the other end (with the longer straight section) into the port marked Handset located on the bottom of the phone.

  2. Plug one end of the phone's network (Ethernet) cable into the port marked LAN. Do not connect the Ethernet cable to the MITnet jack at this time.

  3. Attach the base stand:
    1. Be sure you have connected all the cables to the phone.
    2. Drape the cables so they run up towards the top of the phone.
    3. Align the tabs on the base stand to the slots on the phone. The outward-curving edge of the base aligns with the front edge of the phone.
    4. Set the phone upright on the base and press downward until it snaps into place.

  4. Start up the phone:
    1. Plug the Ethernet cable into an MITnet jack near where you wish to place your phone. Because the information identifying your number is stored in the phone itself, it doesn’t matter which MITnet jack you use.

If your phone doesn't work, you might not be equipped for PoE, or there may be another problem. Contact your IT support and ask if you need a power adapter. If not, please write to telephone-help@mit.edu or call 3-HELP (617-253-4357).

About Headsets

Although headsets are not included, MITvoip desk phones are compatible with many commercial headsets. You might be able to use your existing ISDN headset. For advice about choosing and purchasing a headset model, read Choosing a Headset or contact Telephone Client Support at telephone-help@mit.edu or 3-HELP (617-253-4357). Headset installation will vary from model to model, so consult the headset’s manual for instructions.
