VoIP Account and Device Management
Overview

This section of the VoIP phone system documentation describes
the Web-based VoIP phone management system. You use the VoIP management
system to:
Note that VoIP (Voice over Internet Protocol) and SIP (Session
Initiation Protocol) are used interchangeably in this context.
Manage your VoIP Account
Follow these steps to manage your VoIP (SIP) account:
- From your computer with your secure web certification, log
into the management site.

- Click on the account you want to manage.
- Make adjustments to your account settings on the following
page, according to the information provided below.
- Click Update Settings to complete your changes.
Account Owners and User
The top of the account management page shows your MIT VoIP phone
number, assigned when your VoIP phone was ordered. The account
owners and user information section of the account management page
contains the following fields:

- The Description field may contain any description
of the VoIP phone you would like, up to (tbd) characters. This
field is often used for the name of the user, or the location
of the phone. Enter a description in the box, then click Update
Settings near the bottom of the page to complete the
process.
- Click View Assigned Owners and drop down the
owner list to see the listed owner or owners for this account.
These will often be the person who requested the VoIP phone,
and the person using it, if different.
- Click Add a new owner to add an owner to the
account. Enter the name of new owner in the box to the right,
then click Update Settings near the bottom of
the page to complete the process. Owner names must be Kerberos
names.
- Click Delete an owner to remove an owner name
from the account. Select the owner name to delete in the drop-down
list to the right, then click Update Settings near
the bottom of the page to complete the process. There must be
at least one owner listed for the account.
- Enter a valid cost object code in the Billing account
number (recurring) field. This account will be charged
the recurring VoIP fees, like the monthly fee. Click Update
Settings near the bottom of the page to complete your
entry.
- Enter a valid cost object code in the Billing account
number (usage) field. This account will be charged
any VoIP usage fees, like long distance charges. Click Update
Settings near the bottom of the page to complete your
entry.
- Enter the primary location of your VoIP phone in the Primary
location field. This information is used for support
purposes. Your primary location is normally your MIT office
location. Click Update Settings near the bottom
of the page to complete your entry.
- Enter your display name in the Display name box,
up to (TBD) characters. Your display name is the name other callers
with the MIP VoIP system see on their phone when you call them.
Click Update Settings near the bottom of the
page to complete your entry. Note that your display name will
not appear as caller-ID information outside of the MIT VoIP system,
but your phone number unless you disable it as described in calling
options below.
- Enter your SIP account password in the SIP account
password box. This password is your Kerberos account
password. Click Update Settings near the bottom
of the page to complete your entry. Note that your voice mail
password is a separate item. See the voice
mail documentation for more information.
Call Forwarding and Calling Options
Set call forwarding and calling options for handling incoming
calls and telephone network access.

- Click Forwarding calls disabled to turn off
call forwarding, including forwarding unanswered calls to voice
mail. Click Update Settings near the bottom
of the page to complete your entry. Your VoIP phone will ring
until you answer or until the caller hangs up.
- Click Forward unanswered calls to voice mail to
enable voice mail for your phone. Click Update Settings near
the bottom of the page to complete your entry. Also, check the
setting of the Forward unanswered calls
after field below. This field determines how many times
your phone will ring before voice mail handles the call.
- Click Forward unanswered calls to a specified number/uri to
forward calls to another number rather than the voice mail system.
Click Update Settings near the bottom of the
page to complete your entry. You must specify the number or URI
(uniform resource identifier) in the Forward to specified
number/uri field below for this option to take effect.
- Click Forward all calls to have your calls
sent to another phone without ringing your VoIP phone. Click Update
Settings near the bottom of the page to complete your
entry. You must specify the number or URI (uniform resource identifier)
in the Forward to specified number/uri field
below for this option to take effect.
- Enter the number to use for call forwarding in the Forward
to specified number/uri field. Click Update
Settings near the bottom of the page to complete your
entry. This number can be any phone number callable from your
VoIP account or the uri of a VoIP phone in [phone number]@[IP
address] format.
- Make a selection from the drop-down list in the Forward
unanswered calls after field to set the length of
time your phone will ring before the forwarding you set up
takes effect. Click Update Settings near the
bottom of the page to complete your entry. Choose from zero
to 60 seconds in five second increments. Note that phones ring
about three times in 10 seconds. If you set this value to zero,
your phone will not ring, as if you set Forward all
calls.
- Click Suppress sending caller-id on outgoing calls to
call anonymously. Click Update Settings near
the bottom of the page to complete your entry. The message that
your callee sees when you use this option depends on their equipment.
They might see a message like unknown caller or simply unknown.
- Make selections from the next four options to limit how this
account can be used. Select from:
- On-campus calling access
- Local calling access
- Long distance calling access
- International calling access
On-campus calling access include the Cambridge campus only.
Local calling access includes all of the 617 area code. Long
distance calling access includes all of the United States.
International calling access includes the entire world. Note
that long distance and international calls incur charges to
your account.
Call Lists
The VoIP phone system includes a call list feature that allows
you to manage who can call you and under what conditions. Use the
following fields to manage your incoming calls:
- Click Add new caller deny list entry to add
a phone number to your call deny list. Enter the complete number,
as it appears in your caller-ID display, in the box to the right.
Click Update Settings near the bottom of the
page to complete your entry. When a caller on your deny list
calls, your phone does not ring or go to voice mail. The caller
hears only ringing. You also use this field to remove callers
from your deny list. Click Add new caller deny list entry,
select and delete the entry, and click Update Settings to
remove a number from the list.
- Select the Anonymous call blocking box to
prevent incoming calls that do not include caller-ID information.
Click Update Settings near the bottom of the
page to complete your entry. This applies to calls from everywhere,
both inside and outside MIT. Note that is is possible for callers
within MIT to turn off caller-ID. Callers making calls without
caller-ID information just hear ringing, these calls do not go
to voice mail. These calls usually show on your caller-ID as
private, out of area, or unknown. To allow anonymous calls, de-select
the checkbox and click Update Settings.
- Click Add new caller allow list entry to add
a phone number to your call allow list. Enter the complete number,
as it appears in your caller-ID display, in the box to the right.
Click Update Settings near the bottom of the
page to complete your entry. When you have Do not disturb turned
on (see next item), numbers on this list ring through. You also
use this field to remove callers from your allow list. Click Add
new caller allow list entry, select and delete the entry,
and click Update Settings to remove a number
from the list.
- Click Do not disturb to prevent your phone
from ringing, except for callers on your allow list (see above).
Click Update Settings near the bottom of the
page to complete your entry. With do not disturb turned on, calls
are forwarded according to your call forwarding options (see
the call forwarding section above for more information).
This section of the management system also includes information
on when your VoIP account was created and last modified.
Account Registrations
Your current VoIP phone registrations are listed in this section.
Note that the following example has two phones listed to the same
account, in this case a Polycom desk set and a wireless VoIP phone.

Registration information includes:
- Your VoIP phone numbers in sip:[10 digit number]@[IP address]
format.
- The date and time when your account was modified.
- The expiration date of your account (part of account provisioning).
- The Q value of your account (not used at MIT).
- The user agent(s) (phones) assigned to your account.

Manage Your VoIP Device(s)
Follow these steps to manage your VoIP (SIP) device(s):
- From your computer with your secure web certification, log
into the management site.
- Click SIP Device Management on the left.

- Click on the device to manage.
- Make adjustments to your device settings on the following page,
according to the information provided below.

- The Description you supply for this device
appears in the management system. Enter a description that will
let you easily select the correct device from a list. Enter the
description in the box (TBD characters max.). Click Update
Settings near the bottom of the page to complete your
entry.
- Select this device's Model number from the
drop-down list. Click Update Settings near the
bottom of the page to complete your entry. Selecting the correct
model number is important for the correct operation of the management
system.
- Click View assigned owners and operate the
drop-down box to the right to see the assigned owner(s) of the
account.
Note: This field is not directly modifiable.
- Click Add new owner to add an owner to the
account. Enter the owner name in the box on the right. Click Update
Settings near the bottom of the page to complete your
entry. Owner names must be Kerberos names.
- Click Delete an owner to remove an owner from
the account. Select the owner to delete from the drop-down list
to the right. Click Update Settings near the
bottom of the page to complete the deletion.
- Click Assign a new SIP account to connect
your VoIP (SIP) account to this device. Enter the phone number
to assign to the device in the box on the right. Click Update
Settings near the bottom of the page to complete your
entry.
- Drop-down the Currently assigned SIP accounts list
to see the VoIP accounts currently assigned to this device. Click Delete and Update
Settings to detach this device from the listed account.
- Click Update Settings to complete your changes.

Use the Reboot Device button with caution. This
reboots your phone. Rebooting can take several minutes, during
which time you cannot make or receive calls.

View Call Records
The VoIP phone system records extensive records of your calls,
including incoming, outgoing, and missed calls. Follow these steps
to view your VoIP (SIP) call records:
- From your computer with your secure web certification, log
into the management site.
- Click SIP Call Records on the left.

- Click on the account to view.

You can view call records for one day, seven days, 30 days, 60
days, or 90 days. Select the interval from the Number of
days drop-down, and click Update View.
Setting the number of days in one area changes all the listings.

VoIP Account and Device Creation
These options are available only to VoIP system administrators.
