MITvoip Telephone: Basic Voice Mail Functions

Overview

This document covers the most common tasks you will perform with your voice mail, including playing, saving, and deleting messages.

Message Waiting Notification

When a caller leaves a message on your voice mail, you will get several signals that a message is waiting

  • A red light (the Message Waiting Indicator) will start flashing.

  • The New Missed Calls count will go up by one.

  • An envelope symbol will appear next to your phone number. If you have more than one line on your phone, the envelope symbol will appear next to the line where the message was left.

  • The usual dial tone will change to a “stutter” dial tone.

You can turn the MWI on or off separately for each of your lines with teh Device Management tools (see Account and Device Management).

If you use the advanced features on the MITvoip Web Interface, then you will see the received call appear in My Calls and the voice mail message will be visible in the VoiceMail pane. You will also receive an email with the message attached as an audio file, a feature that you can customize on the MITvoip Web Interface with your Message Notification Settings.

Listening to Your Messages

These instructions tell you how to play your voice mail messages from a telephone, either from your own number or remotely. You can also use the MITvoip Web Interface to receive voice mail via email and hear your messages via the Web.

A wallet card with remote voice mail access instructions is also available.

From your desk phone:

If you pick up the handset or turn on the headset, you will hear your messages through the earpiece. Otherwise, your messages will play on your speaker phone.

  1. Do one of the following:
    • Dial 4-5995, or
    • Press the Messages button and the Connct soft key.
      Note: If you have more than one phone number, you will be prompted to choose a line when you press Messages. Highlight the line you want and press the Select soft key or the Checkmark button.

  2. Enter your PIN followed by the # key when prompted.

  3. The voice prompt will tell you how many new messages you have and will play the first new message. When the message finishes, the voice prompt will list your menu options (see Handling Messages for further instructions).

  4. When you are finished, use the * to back through the menus until you have exited the system, or just hang up.
From another campus phone:

Follow the steps above. When prompted for your PIN, press *#. When prompted for your mailbox, enter your five-digit extension and press #.

For remote voice mail access from off campus:
  1. Dial 617-324-5995.

  2. At the prompt, enter your five-digit MIT extension and press #.

  3. Enter your PIN and press #.
Alternative method for remote voice mail access:
  1. Dial your own MIT number. If you are calling from campus, you may use your five-digit MIT extension.

  2. While the voice mail greeting is playing, press *.
    Result: You will receive your voice mail prompt.

  3. Enter your PIN and press #.

This method will only work if no one answers your phone when you call and if unanswered calls are set to go to your voice mail.

Handling Messages

When you play a message, you can replay, save, delete, reply, or forward it, or hear the date and time it was received. The system will then play the next message.

As in all of the voice mail menus, use the * key to go up a level in the menu tree. From the main menu, you can use the * key to exit.

Replaying, Saving, or Deleting a Message

The most commonly used options are replaying, saving, and deleting:

  • Press 1 to replay the message you just heard.

  • Press 9 to save the message.

  • Press 7 to delete the message.

Once deleted, your message will no longer be available, neither from your phone nor via the MITvoip Web Interface.

Listening to Sender and Date/Time Stamp

Press 5 to hear when the current message was received and, if available, the sender's phone number.

Replying to Voice Mail Messages
  1. Press 8 to reply to the current message.

  2. Choose one of the following options:
    • Press 1 to leave a voice mail message (MITvoip extensions only).
    • Press 5 to ring the sender's phone (any phone number, if available in caller ID information).

Note: There might be a delay of several seconds before your call is connected.

Forward a Message

Note: You can only forward messages to other MITvoip extensions. You cannot forward messages to off-campus numbers or to extensions on campus that have not transitioned to MITvoip service.

  1. Press 6 to forward the current message.

  2. When prompted, record an introduction and press #.
    • Press 1 to review what you have recorded.
    • Press 4 if you want to rerecord.

  3. Press 6 to add recipients. Do one of the following:
    • Enter an extension and press #.
    • Press * to use dial by name.

  4. Press 5 to review the list of recipients.

  5. When the list is complete, send the message:
    • Press 2 to forward the message to the recipients.
    • Press 3 to forward the message with urgent status.
    • Press * to cancel.

Sending Messages

This feature allows you to leave a message in someone’s voice mail without ringing their phone. You can send a voice mail message to any MITvoip number. You cannot send messages off campus or to subscribers of a different phone service.

  1. Access your voice mail.

  2. Press 4 to send a message.

  3. When prompted, record your message and press #.
    • Press 1 to review your message.
    • Press 4 to rerecord your message.

  4. Press 6 to add recipients. Do one of the following:
    • Enter an extension and press #.
    • Press * to use dial by name.

  5. When the list is complete, send the message:.
    • Press 2 to send the message to the recipients.
    • Press 3 to send the message with urgent status.
    • Press * to cancel.
