Job Description

ADMINISTRATIVE ASSISTANT, Resource Development, to perform complex and diverse duties in support of the Office of Gift Planning. Will exercise discretion in communicating sensitive information regarding donors and prospects; anticipate and initiate actions regarding office operations; prepare correspondence and reports; make editorial changes in materials, including limited rewriting and independent checking for accuracy of content by reference to a variety of sources; provide telephone coverage with a focus on client service; and create files for prospects, print PCS reports from ADONIS database, update weekly gift activity report, prepare transmittals to the Treasurer's Office and SSGA, track status of gifts, and maintain comprehensive files. Will also be responsible for SAP financial transactions and have limited signature authority; process travel expense vouchers; maintain records of purchasing transactions, review monthly statements, and report discrepancies; maintain inventory of supplies and upkeep of office equipment; make complex travel arrangements; and assist with special development projects as requested. REQUIREMENTS: experience with Macintosh computers and MS Word, FileMaker, PowerPoint, and Excel software; ease with database management and systems; familiarity with PG CALC software; ability to multitask and work well with minimal supervision; excellent organizational skills; attention to detail; and professional level of energy, assertiveness, creativity, initiative, and motivation. Strong written and oral communication skills needed, as is experience working effectively with different departments, donors, attorneys, financial advisors, and senior administrators.
