Job Description

ADMINISTRATIVE ASSISTANT, Resource Development, to perform complex and diverse duties. Will function as a coordinator of multiple projects; answer telephones; type, edit, and proofread documents; assist with the preparation of grant proposals; prepare letters for the President's signature in coordination with senior officers' staff; assist in preparing publications or presentations using PageMaker or Power Point; coordinate and schedule visits; assist with projects and help staff events; make travel arrangements, prepare and distribute itineraries, obtain travel advances, and prepare expense vouchers; conduct foundation research for supervisors; maintain databases using FileMaker Pro, Excel, and Word and generate management reports; take minutes and transcribe, correct, and distribute accordingly; prepare Institute forms such as requisitions; maintain supervisors' calendars and schedule meetings; process mail and handle photocopying; maintain inventory of supplies; and operate office equipment and arrange for maintenance. REQUIREMENTS: wide-ranging knowledge of office procedures with expertise in one or more functional areas, ability to provide training to other staff, proficiency with Macintosh computers and Microsoft Word, familiarity with FileMaker Pro, and willingness to learn other software. Must be able to independently organize, set priorities, and carry out detailed procedures; and accept responsibility and initiate appropriate activity. Excellent oral and written communication skills needed. Should be able to exercise tact and good judgment and have a desire to learn the fund-raising process. Knowledge of and/or an interest in MIT preferred. Associate's/bachelor's degree or combination of equivalent education also preferred. Targeted hiring range: $30,000 to 40,000. 02-1125GD
