Job Description

SR. OFFICE ASSISTANT, Harvard-MIT Division of Health Sciences and Technology, to provide administrative support to the Office of Finance and Administration in a busy, service-oriented department. Will perform complex and specialized duties in support of the Administrative Officer and Financial Administrator; anticipate and initiate actions regarding office operations; maintain and update records, databases, and files; handle telephone and mail inquiries; and exercise discretion when dealing with sensitive or confidential information or situations. Duties include scheduling and calendar management; scheduling and coordinating office moves and renovations; drafting and editing correspondence; making travel arrangements and maintaining office supplies; monitoring and reconciling account statements; processing journal vouchers, invoices, and requisitions; verifying credit card charges; and maintaining accurate account documentation. Will also serve as receptionist, pick up and distribute office mail, and assist with special projects as needed. REQUIREMENTS: strong analytical and computer skills; ability to work under minimal supervision, independently, and as part of a high-performance team; ability to prioritize work, exercise discretion, and perform effectively under pressure; and excellent interpersonal and communication skills. Should enjoy working with a wide range of people. Must demonstrate tact, good judgment, close attention to detail, and the ability to work in an organized manner to meet deadlines. Must be able to take initiative, be flexible, and adapt to change. Must possess strong skills using Microsoft Office and e-mail and be familiar with electronic calendars. SAP and other MIT systems experience preferred. Associate's/bachelor's also preferred. 02-1150GC
