Job Description

ADMINISTRATIVE ASSISTANT, The Libraries (part-time, 17.5 hrs/wk.), to provide overall administrative support to the Libraries' DSpace@Cambridge and DSpace Federation projects. Will have primary responsibility for tracking grant timelines and report deliverables, overseeing project expenditures, making travel arrangements for meetings of project staff and steering committee, and assisting with the preparation of presentation materials and documents. Will approve and process invoices, including working with library staff, MIT accounting offices, and vendors to resolve problems. Will also assist in the development and maintenance of project web pages and provide general administrative support to the project team including ordering supplies and services, maintaining office equipment, and preparing travel reimbursement and vendor payment forms. Will report to the Libraries' Associate Director for Technology. REQUIREMENTS: 4.5 years direct/related experience (post high school education may count toward experience), excellent administrative and organizational skills, and ability to set priorities and work independently and efficiently with minimal supervision and with frequent interruptions. Seek individual with positive, proactive service attitude and strong interpersonal and communication skills. Solid facility with computers necessary, including familiarity with the Internet; Windows; and tools such as Microsoft Word, Excel, PowerPoint, HTML, Dreamweaver, and e-mail. Attention to detail a must. Experience with SAP desired, as is willingness and desire to learn additional computer software skills. Experience working in libraries or other research facilities and supporting sponsored research projects preferred. (Schedule to be determined.) 02-1185GD
