Job Description

ADMINISTRATIVE ASSISTANT/RECEPTIONIST, Technology Licensing Office, to greet and announce visitors; direct all telephone calls, voice mail, or message boxes; distribute incoming faxes; maintain the reception area and report any building or equipment operations problems; and open, sort, label, document, and direct all mail. A large volumes of legal documents, assorted checks, and patent prosecution correspondence must be correctly labeled, documented, and directed. Will be responsible for maintaining and updating a ready supply of TLO forms and publications; opening all new invention case files using in-house database system; handling initial correspondence with inventors to obtain required documentation as part of the invention case management process; maintaining docketing system for new case files and follow-up correspondence records; maintaining databases in connection with new invention disclosures and patent prosecution; scheduling conference rooms; maintaining the check ledger; organizing e-mail related to case management; maintaining Director's calendar when her assistant is out; and performing other duties as needed. REQUIREMENTS: accurate typing skills, a professional telephone manner, strong communication skills, and ability to take clear and concise messages. Seek a detail-oriented, dependable individual with strong customer service skills. Must be able to prioritize and handle multiple tasks in a frequently chaotic environment. Should be comfortable with large telephone volume and occasional impatient callers and visitors. Database and word processing experience required. Must be willing to learn and manage additional database programs. Desire and ability to work in a team environment necessary. 02-1203GD
