Job Description

ADMINISTRATIVE ASSISTANT, Housing, to provide administrative and secretarial/clerical support for the evening operations/nightwatch program of operations and security for nineteen undergraduate, graduate, and family residence halls. Will develop computer databases for vacations, overtime, and weekly nightwatch coverage; enter data and ensure accuracy; provide reports on evening operations that are accurate, well documented, and serve as a valuable information source; assist Unit 12 regarding operational needs that occur during second shift operations, including setting up fire watches, call-ins for overtime, and communications during emergency response; assist with ensuring that shift logs are completed at the end of each shift; enter payroll for nightwatch personal, which includes keeping accurate overtime and payroll records; assist in posting union bid offers and overtime schedules; and provide coverage support, as necessary, for supervision of union nightwatch employees during holidays, vacations, and other times on the third shift. REQUIREMENTS: strong organizational skills and an ability to handle multiple tasks, set priorities, work independently, and work well in a fast-paced environment. Ability to produce clear written and verbal communication and ability to interact professionally with administrators, faculty, students, and all departmental personnel essential. Strong customer service skills needed. Computer knowledge and experience in the use of FileMaker Pro, Word, Excel, HTML, and e-mail needed.
