Job Description

ADMINISTRATIVE ASSISTANT, Singapore-MIT Alliance, to perform complex and diverse administrative duties for four staff members. Will coordinate and schedule diverse and complex appointments and on- and off-campus meetings; assist in the preparation of seminars, luncheons/dinners, and special events; organize meetings and disseminate applicable materials; arrange site visits and ensure the availability of appropriate equipment; show visitors around MIT's labs and centers; make complex travel arrangements, obtain travel advances, and prepare expense vouchers; make editorial changes in material including limited rewriting and independently checking accuracy of content; initiate or compose correspondence for supervisor's or own signature; reproduce reports and other relevant materials; schedule and maintain office and research room calendars; develop and maintain document databases; support educational and research activities; and assist with special projects as directed. REQUIREMENTS: excellent organizational and interpersonal skills and ability to interact with a diverse group of people and work both independently and as a team member. Must be able to handle multiple tasks concurrently and work efficiently in a very busy environment. Flexibility and ability to adapt to a fast moving and evolving environment required. Must be able to work extended hours in the early morning or late evenings periodically. Proofreading, editing, and writing ability needed. Must be proficient in the use of Microsoft Word, Excel, PowerPoint, FileMaker Pro, electronic mail, and the Internet. Bachelor's degree preferred. 02-1226GD
