Job Description

SR. OFFICE ASSISTANT, Architecture/Urban Studies and Planning, to perform diverse secretarial and administrative duties in busy, team-oriented setting in shared headquarters office. Will serve as receptionist; greet and provide information to faculty, staff, students, and visitors; handle telephone calls; sort and distribute mail and faxes; maintain schedule and uphold policies for shared facilities; serve as initial contact for physical plant-related requests and announcements; aid in maintenance of shared Xerox facility; and open and close Wolk Gallery and Stella Suite. Will also provide support to Assistant to Head of Architecture related to lecture series, conferences, and exhibitions; assist with faculty meetings; coordinate faculty searches, appointments, and promotions; photocopy; and assist with special projects as needed. Support provided to the Department of Architecture will include scheduling meetings, conferences, and classrooms; providing assistance with academic class scheduling; mailing departmental literature; inputting admissions data; assisting with arrangements for meetings; maintaining databases, telephone and e-mail lists, and key system; ordering office supplies and equipment/service; and other duties as needed. REQUIREMENTS: excellent organizational and interpersonal skills, accuracy and attention to detail, and ability to manage a variety of tasks concurrently despite frequent interruptions. Must be able to work under pressure, both independently and as part of a team. Discretion, initiative, and ability to work with minimal supervision important. Excellent computer skills needed, e.g. word processing, database, scheduling, and e-mail. Familiarity with MIT helpful. 03-0007GC
