  1. Speaker's name
  2. Title of the talk: If it is in Farsi, try to have the translation too.
  3. A short bio of the speaker: This is essential in giving the audiance a sense of the importance of the talk.
  4. A two-line description of the talk
  5. Farsi or English: There are people on our mailing list who don't speak Farsi.
  6. Date: Try to put in full: "Monday, July 1, 2002". Make sure the day of the week matches with the date. If this is a periodical event, try to indicate the future dates in your announcement.
  7. Beginning and Ending Time: It is important to have an announced end point for the talks. Many people want to plan things ahead of time and since they find it disrespectful to leave the lecture room while the talks are going on, they become reluctant to go to the talks.
  8. Location(Map): Don't assume that every one knows MIT as you do. Try to find the URL for the map of the event location using MIT website. MIT map

Movies

  1. Name of the Movie
  2. Director's name
  3. Country
  4. Language(English subtitle?)
  5. Type of the movie: you can write the type of the movie(drama, comedy,...). Also, you can give a hint whether it is an artistic Iranian movie with bare foot kids running around or it's about the social issues in Iran with or without political content.
  6. Summary of the movie
  7. Possibly a part of a review
  8. Date of screening
  9. Time(length of the movie)
  10. Location(Map)
  11. Type of screening(TV, Video Projector,...)
  12. Type of the movie(DVD, VCD, Video, 8mm film)

General Cautions about Sending an Email@MIT

  1. URLs: If you are going to put a URL in your announcement, first type the URL in your webbrowser and make sure that it works, then copy it dircetly from your web browser to your email announcement.
  2. To, CC or BCC: If you are sending an email to more than one student group at MIT, send them all in one email. MIT mailservers sends only one copy to people who might be on more than one mailing list. If you are sending the copy of the emailto your friends, it is more polite to put them in the BCC to protect them from random replies. For more protection use CC or BCC for mailing lists, in case a careless friend of yours press the reply to all button.
  3. persians@mitva.mit.edu: should only be used to send out event annoucements. There are over 150 people on this list, and they prefer to receive as few emails as possible. These people are not only college students, but Iranians throughout Boston.
  4. persian-mit@mit.edu: this list is for Iranian students at MIT. There are about 60-70 people on this list. You can use this list for anything you like.
  5. persian-fun@mit.edu: this list is for Iranians in Boston, who don't mind some interesting emails. There are about 100 people on this list, I think. You can use this list for anything you like as well.
  6. When sending out emails to people outside of MIT, please refrain from writing all the email addresses in the "TO" box. Please, please, use bcc instead. The last thing we need is someone using our lists for advertisements. So for example, when sending emails to persians@mitva.mit.edu, always use bcc: for persian-mit@mit.edu, and persian-fun@mit.edu.

Making changes to Email-lists

  1. To make changes to the E-mail lists such as persian-mit, persian-tech you can use "Athena List Management". Go to this page: http://web.mit.edu/moira/ you need to have the right permissions. persians@mitmva.mit.edu is a listserver.

  3. You may add users to your new list individually by sending the following command [QUIET] ADD listname user@address Firstname Lastname
    If the full name is unavailable, you may use an *.
  4. To delete subscribers from your list send the command
    [QUIET] DELETE listname user@address
  5. If you wish to get a list of subscribers for your list send the command
    REVIEW listname

 

Orientation lunch

  1. Make sure to get a receipt for the food being purchased.
  2. Going to some open space area such as Boston Common is good.
  3. There must be a plan ahead of time with a fixed and relatively strict times.
  4. If going to Pita Kabab, order the food for an hour earlier. They are always late.
  5. Make sure that there is an additional option for people who are vegetarian or only eat Halal meat.

Lessons for Treasurers

  1. It is good to estimate the expenses before and to give money beforehand to the person who is organizing the event.
  2. Make sure officers know that they have to get a receipt for what they buy.

A typical Persian Halloween

Halloween is usually organized in Walker Memorial which takes about 250 people. Planning needs to start at least 2 months ahead of time. Here are what are needed:

  1. reserving the Walker Memorial atleast 2 months earlier.
  2. City of Cambridge licence for organizing large events.
  3. Professional DJ: costs $600-$800.
  4. MIT Police: charges $200.
  5. Preparing Posters for distribution in other schools and Iranian shops.
  6. Email announcement. Needs to start atleast 1 month earlier.
  7. 5 officers need at the day of event to prepare the place.
  8. 7 officers need to be present at the time of event.
  9. it is useful to have cookies.
  10. Tickets often have a lower price for students.
  11. Ticket price needs to be between 7-10.
