Most MIT classrooms should be unlocked and ready for use, but in the chance you arrive and find the door locked, you can call Facilities to have the door opened. They will ask to see your confirmation.
Most rooms are kept at a comfortable temperature, but it is sometimes necessary to call Facilities to request an adjustment to the thermostat. You will probably need to wait a short while for the changes to take effect.
The Schedules Office system makes it almost impossible to "double-book" a room, and almost every conflict situation is easily explained by a miscommunication in some part of the room request/confirmation process. Remember to bring a printed copy of your confirmation to compare with that of the other party. A confirmed reservation takes precedence. Please select the situation that best fits:
Step 1:
Ask the person in charge if you can see their confirmation email from the Schedules Office, and carefully review both their and your assigned rooms, checking for inconsistencies in rooms, dates or times assigned. The person responsible for the event should have their confirmation - or at least access to their confirmation - with them. Be sure to ask the name of the person responsible for the event, as well as the name of the group or title of the event.
Step 2:
If you decide to use an alternate nearby room that appears to be empty, be prepared for the possibility that someone who has reserved the room could interrupt your event and ask you to leave.
Step 3: Inform the Schedules Office of the conflict via email, including the name of the conflicting event and whichever alternate room(s) your group ended up using.
Most MIT classrooms should be fully clean and ready for use, but in the chance you arrive and find the room in less than ideal condition, you can call Facilities to have room tidied up. It is each person's responsibility to leave the room in the (clean) condition it was found.
