Attendees: Paul Arsenault, Bob Casey, Mark Damian, John Dvorak, Gill Emmons, Debby Fisher, Kathleen Flynn, Bil Huxley, Kevin Lyons, Mike McNamara, Bob Mehrez, Eileen Nielson, Ron Parker, Jean Roberge, Israel Ruiz, Rob Slauzis, Sue St.Croix, Peg Warner, Anne Whelan SAPbud Project: Peg Warner and Israel Ruiz reviewed the SAPbud project and current status (to see the presentation go to http://web.mit.edu/sapbiz.) SAPbud will replace NIMBUS with a web-enabled SAP-based solution. This is a major step toward migrating all financial data into one system/application. In SAP data and hierarchies can be aligned to improve integration of information and consistent reporting. Major new features/enhancements include: - Use of standard accounting/hierarchy structures - Decentralized ability to make budget transactions (approval via workflow) - All resource budgeting with improved carry forward visibility - Linkage with LDS/Position Mgmt/Position Budgeting - Storing and accessing of multiple planning versions Although the initial plan was for a two phased approach, the current plan is to implement SAPbud with a complete budgeting solution in October of 2004. Teams will be participating in usability testing later this month. HR Employee Self Service Redesign: Irina Vainstock and Diana Hughes have been working on the design and feel of the Employee Self Service web site. This is becoming the central point for employees updating and accessing their information - benefits, address, emergency contact, etc. Futures may include parking, etc. The team, which includes FSS, IS, Payroll, and HR members, is also considering a new name for the web site. Please send your feedback on the web site or name of the web site via http://web.mit.edu/fss/notebooks/ess/index.html. Plant Maintenance Project Update: Mark Damian reviewed the campus facilities plant maintenance evaluation project -- noting that Lincoln Laboratory is live on SAP plant maintenance and campus needs enhanced functionality on their current plant maintenance system (Maximo). This discovery is solely focused on SAP. To date, it appears that SAP will be able to provide the additional functionality required. In addition to the functionality assessment, hardware and 24x7 coverage will need to be addressed. One issue which will need to be addressed which impacts the community is the need for approximately 50K internal orders per year. Action: Gill to review potential number ranges which could accommodate 50K orders per year. The Plant Maintenance Discovery Summary is available on the SAPbiz web site. Next Meeting: There will NOT be a meeting Wednesday, Nov. 26th. The next meeting will be Wednesday, December 10th at 10:00 in the Grand Cayman Conference Room in NE49. The specific agenda will be sent prior to the meeting. SAPbiz Website: Please take a look at the SAPbiz website at http://web.mit.edu/sapbiz. Schedule, agendas, minutes, presentations, etc. are accessible there. Our thanks to Kevin Lyons for setting this up for the team.
