Display Actual Data from Payroll

Overview
You cannot change Payroll data from within any part of LDS. The LDS interface only allows you to display actual data from Payroll. This display capability is useful during variance processing. For example you may want to look up or review actual payroll data before your variance updates are saved. This review is best done in a separate session in SAP.

Navigating through Actual Payroll data
Although there are separate menu paths to get to each information section (header, salary, distribution, vacation, and change hours), the LDS team recommends using the Appt Distribution display option. It provides some header, all salary, and all distribution information on one screen. In addition, the Distribution screen provides options to navigate to any other screen you may need to view, including the following:

To see full header information, use the Appt Header button. Then to return to the Distribution screen, click on either the Back button Back button or Appt Detail button.

If a specified record is either a weekly appointment or a research appointment, the Distribution screen displays the appropriate buttons for access to Change Hours and Vacation information, respectively.

To return to a previously displayed screen, either click the Back button Back button or use the Goto option on the Menu Bar.

To view the appointment information for another record from any Payroll screen, click on the Select More Values button on the Function Bar and you will return to the Payroll Distribution record selection screen, similar to the one shown below.

Display Actual Data from Payroll

Display Payroll Information by Appointment
The procedure to display actual payroll data is very similar to displaying LDS data. From the SAP User Menu, use the following navigation path or type the transaction code from any screen in SAP:

1. On the selection screen, complete one of the ID-specific fields, the LDS Appointment ID or the MIT ID, to uniquely identify the appointment. You may enter other data in the additional fields. The screen's fields are described below:

LDS Appointment ID

LDS appointment ID associated with the Payroll appointment header.

Payroll Appt ID

Payroll Appointment ID associated with the appointment header. The Payroll ID number is 22 characters long.

Payroll Appt
Locator

Eight-digit payroll appointment locator code for the appointment header.

Payroll Cross
Reference

Eight-digit prior FY locator for the appointment.

MIT ID

MIT ID associated with the Payroll appointment.

Organization

Eight-digit LD organization code associated with the appointment's Home department. Same as Org and Org ID.

Appointment Type

Two-digit appointment type associated with the appointment.

Payroll Category

Four-digit payroll category code associated with the appointment.

2. Click on the Enter button button.

Result: The "Display Payroll Distribution" screen appears.

3. To view additional Appointment Header information, click on the Appt Header button.

The Appointment Header screen fields that have meanings different from their meaning in LDS appointments are defined below. All fields are grayed-out in the display mode.

The employee's original MIT hire date (not used in payroll data in LDS).

Transfer-In Users

Information about transfer-in users is not displayed in Payroll records.

4. To view the salary and distribution information for a displayed record from the Appointment Header screen, click on the Appt Detail button.

See Appointments: Create: Enter Salary and Distribution Information for descriptions of the fields. The screen field descriptions below are for those fields that are used differently in the Payroll display mode:

The data in the fields displayed are copied from the Appointment Header screen.

Normal Work Week. This field is present in all Payroll displays. Data only shows for weekly appointments.

Org

Eight-digit LD Organization number to which cost object is assigned.

Comment

This field is not used by Payroll.

5. When you are done viewing this record and wish to view another record, click on the Select More Values button on the Function Bar. You will return to the Payroll Distribution selection screen shown before. Now you may enter or search for another Payroll record to view.

6. From the Distribution screen, click on the ChgHrs button. See Appointments: Distribution Detail; Change-in-Hours and Vacation Tracking: Make a Short-Term Change in Hours to see a picture of the screen and descriptions of the fields. Only the fields that are used differently are described below.
