Operations You can look up an LDS appointment
record using the person's name or an
associated cost object. Select by person

you are unsure of the
spelling of the person's
name, enter as much of
the name as you know,
using the '*' at the
beginning, end, or in
the middle for unknown

more than one
appointment, select the
one you wish to view by
double-clicking on the
line or selecting the
line and clicking the

Code: /nzL7e 1. Enter a 7-12 digit cost object number in the Distrib
- LD Object field (seven digits for an actual cost center,
internal order, or WBS and up to 12 digits for a Proposal
Object). You may enter additional data in the other fields
to narrow your search. 2. Click the Execute button 3. Double-click on the appointment line of the employee you
want to access, or click on the name to select it and then
click on the Select Appt button to access the "Display
Appointment Salaries & Distributions" screen. Change
LDS Appointment Information Change names in appointment information Name changes in appointments with a valid ID number entered
in the MIT ID field are not permitted. You will notice that
the name fields are "grayed out" indicating that they can
not be changed. If you need to change the name of an existing
employee as a result of a legal name change, etc., you must
use the following navigation path or transaction code: Navigation

Code: /nzL12 Enter the person's MIT ID and then change the name and save
the file. All the names in LDS should then reflect the new
name. If the name change has not occurred in the payroll file,
you may see an appointment (header) variance until the record
is changed in the Payroll system. See: LDS/Payroll
Variance: Appointment Header, Salary, and Monthly Distributions
for information on processing appointment (header) variances. In the case of appointments created in LDS (e.g., a "TBA"
appointment) the name field and the MIT ID field remain open
and you can make any changes to the name. However, as soon as
you enter a valid MIT ID number and press the enter key, the
name field is overwritten with the name data associated with
that MIT ID number. The MIT ID field and all the name fields
are then grayed-out preventing any further change through the
appointment screen. Note To

Code: /nzL7c (by person) Change salary and distribution information Click on a field to select it and enter
changes. Repeat as needed. Note If
there are many salary or distribution lines, the
Search button Delete items 2.To delete a distribution line, click
on the box in the "D" column on the
left-hand side of the line. (It will be
deleted when the appointment is saved.
See step 5.) 3. Click on Enter button Result: The line item is now
grayed-out. Make sure the distribution of
the active, remaining lines, total 100%
for the current fiscal year. Also, check
that all the dates between the salary
start and end dates are covered. If an
Error message appears as you save your
changes, indicating the distribution
entries do not total 100%, please make
changes as needed. 4. Click on the Enter button 5. Click on the Save button 6. Click on Proceed. You are
returned to the previous screen (LDS: List
of Appointments by...). Change Appointment header
info 2. Change information as needed. Information in shaded fields cannot be
changed on this screen, and some fields,
such as Payroll Appt. ID, can never
be changed at all. To change Data in the Pay Categ, Appt Type,
and Basis you must create a new appointment record
containing the new data. If the new record replaces the previous
one, don't forget to delete the old appointment information
record when you are done unless you need to keep it for its
historical data. (See Appointments:
Create.) Note The
If you wish to change the NWW, i.e., Normal Work Week hours,
for an appointment, you must create a new LDS appointment. 3. Click the Save button Note The
LDS system will advise
you if any of the
entries are invalid.
Make any changes and
click Save again,
repeating the process
until all errors are
repaired. 4. Click the Back button You can delete individual salary or
distribution line items within an
appointment using the LDS Change
function. (See Delete
items.) However, to delete an
appointment entirely, you use the
Delete function under the LDS
Appointment menu (or by using the
Delete Appt button from any "List
of Appointments by..." screens.) Deletion
of a record only works if the appointment
does NOT have a corresponding
Payroll record. Delete an appointment
entirely Note Remember
you cannot delete an LDS
record that has a
corresponding Payroll
record. Delete an entire appointment record (including the appointment
header) using the following navigation path or transaction
code: Navigation

1. Enter an LDS appointment ID
number. Note If
you don't know a person's LDS appointment ID number
but you know their name, you can use the Matchcode
function to search by a person's name. Click on
the Matchcode button at the LDS Appt ID
field to access the search dialog box. 2. Enter an Organization ID and employee name (or use the
standard SAP wildcard search methods) and click on the Enter
button Note In
the search screen you
can search by
Organization or by Cost
Object by choosing the
appropriate
tab. If only one record is found, its
appointment ID number is immediately
entered in the field. If more than one is
found, a Hit List is displayed. Double
click on the appointment number of the
person you want to delete in this list and
the person's appointment ID number is
entered in the LDS Appt ID
field. 3. Click on the Enter button 4. Click on the Delete Appt
button and a dialog box appears with this
text: "All segments of this Appt will be
deleted and, if applicable, SAP
Commitments will be reversed.
Proceed?" 5. Click the Yes button to delete the record. A message in
the status bar confirms that the record has been deleted. |
