Field Name

Description

Purpose

Present an overview of commitments against one or more cost objects. Once you select a Profit Center, enter one or more cost objects to run this report.

Note

Remember to include the whole range of possible profit center numbers for your organization. This will result in the inclusion of any data relating to any of the sub profit centers. For example, the Cancer Research Center main profit center is P159700. To include all data in the report, the profit center range of P159700 to P159799 should be specified.

Controlling Area

MIT (default).

Fiscal Period

The 2-digit Fiscal Month and 4-digit Fiscal Year. The default is the current Fiscal Month and the current Fiscal Year.

Profit Center (?)

The 7-character SAP profit center number.

Cost Object

Cost Center, Internal Order, WBS Element or Proposal Cost Object.

Enter a single cost object number, lists of cost object numbers, and/or ranges of cost object numbers.

Note

We recommend you select one or more cost objects rather than the whole profit center to limit the scope. Otherwise, this report runs very slowly and produces a large volume of output, possibly more than 200 pages. (See the warning note on the selection screen. If the user asks for the report to include the whole profit center, the system will ask the user to confirm the choice.)

Term Codes (?)

OPEN: fully active

1: active, but in the closing period.

2: closed, but changes are possible.

3: completely closed, and no changes are allowed.

Click in the boxes to include cost objects with the selected term codes. Leave the boxes unchecked to exclude cost objects with selected term codes.

Sort Option

Sort by Object (default) or Sort by Supervisor

Features of this Report

  • The report can be produced for an entire Profit Center, or for a subset of Cost Objects. See the cautionary note in the Cost Object field description above. Commitments are listed by individual LD object number.
  • This report can be used to create a detailed list of the LDS salary commitments that appear in the Summary Statement in summarized form.
  • The fiscal period you select determines which open commitments will be displayed. If you select any period prior to the current period, the open commitments will be identical to the current period since the earlier commitments have already been liquidated. If you select a future period the report will show commitments as of the beginning of that period through the balance of the fiscal year or the balance of the open commitments, depending on the type of cost object.

For example, if the current month is March of 2000 (fiscal period nine of FY2000) the report will show the same data for periods eight and nine.

  • Distributions are shown in the report with a Distribution Date Begin and an End date. This range represents the entire period of remaining open commitments for this appointment as of the Report date, which is displayed in the upper left-hand corner.
  • The report lists the cost object's authorized total, cumulative fiscal YTD actuals, available funds, and total commitments broken down into LDS and non-LDS commitments, and the cost object uncommitted balance.
  • For every appointment with a salary commitment, both the unloaded and loaded salary amounts are displayed.
  • The user can drill down in an appointment line to see the actual appointment details. Use the green back arrow to return to the report.
  • The output of this report is wider than some computer display formats. If you cannot view the complete Organization number in the right-hand column, go to the bottom of your screen, drag the scroll bar to the right, and then click on the right-hand scroll button until you can see the whole number.
