Refreshing the Inbox to Confirm Approval

Approve a line item

  1. Go to your Workflow Inbox:

    Navigation Path:
    (from the SAP
    User Menu
    screen)

    - User Menu
    - Role ZMIT
    - Mailbox
    - SAP Office Inbox

  2. Click the Workflow button.
  3. Open the line item you wish to approve by double clicking the Execute button button next to it.
    Result: The Item Detail screen appears.
     
  4. Now go to the Item Overview screen: Goto>>Item Overview
     
  5. Click in the Line Item Selection box next to the line item(s) you wish to approve. You can approve multiple line items at once by clicking in multiple selection boxes, but be sure to select only the line items that require your level of approval. You cannot release line items that you are not authorized to approve or line items that don't need approval.
     
    If you see the message "Release outside field of responsibility," it means you tried to approve a line item you are not authorized to approve. To clear the error, click to "uncheck" the incorrectly selected item and press the Enter button button.
     
  6. Click the Release + Save button.
     
    Result: SAP displays a message confirming the requisition has been changed (i.e., line item(s) have been released) and your inbox is redisplayed. The released requisition line items will be routed either to the Procurement Office or to a Level 2 approver, depending on the release strategy your department uses.

Note

If you accidentally click the Release button instead of Release + save, you must click on the Save button button before exiting the requisition.

Refreshing the Inbox to Confirm Approval
It's always a good idea to review your inbox after approving requisition line items to confirm that all the line items you intended to release have been released.

Click on the Update button button to refresh the inbox screen.

Approved Line Items: All approved line items should be gone from your inbox. If, by mistake, not all line items were released, you can approve them now.

Deleted Line Items: Any deleted line items should be gone from your inbox.

Withheld Requisitions: Any line items that you are holding for changes should still appear in your inbox. If you created an attachment memo, you will see the attachment balloon icon in the Attachment column. (See Other Approver Functions for instructions on how to create an attachment.)

Putting a Requisition Back into Workflow: Once you have opened a line item in your inbox, it is yours to work on and cannot be accessed by any other approvers. If fact, it disappears from all other approvers' inboxes.

If you open any requisition line items that need to be reviewed by another approver, you can put them back into workflow.
