Overview

This report shows a summary of the fiscal year-to-date costs for all cost element activity incurred against a profit center group or one or more profit center(s) over a specified fiscal period. You have the option to run a standard or a custom report.

The standard report uses the default cost element group CEMIT-8. If you select a custom report, you can choose another cost element group, combine different types of cost objects into one column, change default cost objects, choose a level of cost element detail, and type in new column headings.

Note

You can choose a cost element group but not an individual cost element.

Before you can run this report, you must have profit center-level (departmental-level) reporting authority or above.

Displaying the Profit Center Volume Report

Use the following navigation path from the SAP User Menu screen or type in the transaction code from any screen:

Entering the Fields on the Standard Profit Center Volume Report

Type in or select one or more of the fields listed in the following table. Remember, more precisely defined reports generally take less time to run.
In some fields, you can use the Matchcode Matchcode button (Mac) (PC: Matchcode button (PC)) search function to find the data you want. (See Getting Started: Matchcodes.) Many fields offer Multiple Selections Multiple Selection button for entering nonconsecutive numbers or multiple ranges of data. (See Reporting Fundamentals: Selection Options for Setting Report Parameters.)

Fiscal period
(required)

The current fiscal period and year is the default. Type over the default to enter another fiscal period and year.

Profit Center Group
(Either Profit Center Group or
Profit Center is required)

Type in or select the profit center group.

Before you run the report, you can see all the profit centers listed in a profit center group. For more information on displaying the contents of a profit center group, see Reports: Reporting Fundamentals: Selection Options for Profit Center Groups.

Profit Center
(Either Profit Center Group or
Profit Center is required)

Type in or select the profit center.

Click the Execute button Execute button (F8) to run the report.

Entering the Fields on the Custom Profit Center Volume Report

The customized version of the Profit Center Volume Report allows you to:

  • Run a consolidated report for more than one profit center
  • Choose a different cost element group
  • Change the default ranges for the cost objects
  • Roll up the report to different levels of detail for the cost element group
  • Change the column headings

1. Enter the Fiscal Period field.

2. Enter the Profit Center and/or Profit Center Group field.

3. Click the Structure button.

Result: The following screen is displayed.

4. Enter one or more of the following fields.

Description

Consolidated report

Click in the box to the left of consolidated report to merge data for more than one profit center into a single report. Otherwise, data for each profit center will be listed separately. Type in a report title if desired.

Cost element group

To change the default cost element group, type in or select another cost element group using the Matchcode button. (The default is CEMIT-8, meaning that it includes all cost elements.)

Note

You cannot select an individual cost element.

Rollup report to level

Type in from 1 - 5 levels of detail for the cost element group (1 is the highest, least detailed view). You can also expand or collapse the cost element levels after the report is run using the Expand and Collapse buttons.

Column structure

The columns in this report display total revenues and expense amounts by cost element and by cost object type. If you want to keep the default values, your report will include all cost objects for the cost element group and the following cost object types.

FUNDS WBS

Sponsored fund accounts now tracked as WBS elements.

FUNDS ORDERS

Internal orders for non-sponsor coded funds.

COST CENTERS

Expenses and/or revenue for the default cost centers.

OTHERS

All cost objects not selected in other columns.

You can type over the default column headings and change the cost object ranges. Make sure the cost object ranges match the cost object type.

Executing the Report

Click the Execute button Execute button (F8) to run the report.

Reading the Profit Center Volume Report

The following is an example of a report that was run with one profit center.

  • If you run the report on a profit center group or more than one profit center, the profit centers are listed in numerical order.
  • If you run a consolidated report, you can choose a title and the data for all profit centers will be merged.

Asterisks (*) to the right of the cost element indicate the level of detail for the cost element subgroups.

The higher the number of asterisks, the more detailed the level. One asterisk means the least detailed view; five asterisks means the most detail. Click on the asterisk to expand or collapse one level.

TOTAL

Total activity (actual expenses and/or revenue) in the profit center by individual cost element.

RESEARCH WBS

WBS elements for research accounts.

FUNDS WBS

Sponsored fund accounts now tracked as WBS elements.

FUNDS ORDERS

Internal orders for non-sponsor coded funds.

COST CENTERS

Expenses and/or revenue for the default cost centers.

OTHERS

All cost objects not in other columns.

Using the SAP Report Buttons

Button Name

Function

Expand All button

Displays the most detailed view of the cost element group including the individual cost element.

Expand button

From the most compressed (Collapse All) level, you can display cost element levels incrementally by clicking on the Expand button.

Collapse button

Allows you to move up to the less detailed view of the cost element hierarchy.

Collapse All button

Shows the least amount of detail (highest level) for the cost element subgroup; one level of detail.

Download button

Allows you to download the report to a spreadsheet. For instructions see Reporting Fundamentals: Downloading Reports. (The column headings will not be downloaded.)

Other view button

Reverses the order of detail when the report was first run. For example, if the report shows the totals for the cost element subgroup on the first line, the total line will now be the last line for the subgroup.

Printing the Report

Click the Print button on the Toolbar.

Result: The "Print Screen List" window appears. For more information on printing, see Reporting Fundamentals: Printing Reports.

Saving Report Variants

You can create and save variants for this report. For more information on using report variants, see Reporting Fundamentals: Report Variants.
