Overview

This report allows you to view outstanding sponsor receivables by profit center or sponsor code. It shows the date and amount that sponsors owe on research projects as of a selected aging date. Specific details include total amount due, amounts paid to date, balances that are up to 30, 60, 90, 120, and over 120 days overdue, and when the sponsor was last dunned. The report looks at open and cleared items with the baseline date on or before the aging as of date.

Note

To run this report, you need either authorization at the departmental (profit center) level or authorization for specific projects or WBS elements.

Displaying the Aging Report

Use the following navigation path from the User Menu screen or type in the transaction code from any screen:

Entering the Fields on the Aging Report

You can run the report by customer number, customer/sponsor code, or profit center.

Type in or select one or more of the fields listed in the following table. Remember, more precisely defined reports generally take less time to run.
In some fields, you can use the Matchcode Matchcode button (Mac) (PC: Matchcode button (PC)) search function to find the data you want. (See Getting Started: Matchcodes.) Many fields offer Multiple Selections Multiple Selection button for entering nonconsecutive numbers or multiple ranges of data. (See Reporting Fundamentals: Selection Options for Setting Report Parameters.)

Field Name

Description

Customers

The customer number is assigned to each sponsor for billing purposes and is based upon the sponsor's address. The default is all customers. You can enter new values by typing them in or by using the Matchcode Matchcode button (Mac) (PC: Matchcode button (PC)).

Customer Sponsor Codes

Accept or change the default sponsor codes by typing them in or selecting them using the Matchcode Matchcode button (Mac) (PC: Matchcode button (PC)).

Profit Centers

Type in or select the profit center (your department number prefaced by the letter "P" ).

Aging as of?

Defaults to the current date. To change the default, type over the date or select it using the Matchcode Matchcode Matchcode button (Mac) (PC: Matchcode button (PC)).

Executing the Report

Click the Execute button Execute button (F8) to run the report.

Column Name

Description

Spon

MIT-assigned code which identifies the sponsor

Sponsor Name & Customer Number(s)

The sponsor name and ten-digit customer or sponsor number(s) used for billing. These numbers are based on the sponsor's address.

Balance due
(below the sponsor name)

Total amount due as of the aging date entered on the report entry screen

Paid to date
(below the customer number)

Total amount paid to date (starting from 9/96)

From 0 to 30

Amount due 0 to 30 days from the date when the invoice is due

From 31 to 60

Amount due 31 to 60 days from the date when the invoice was due

From 61 to 90

Amount due 61 to 90 days from the date when the invoice was due

From 91 to 120

Amount due 91 to 120 days from the date when the invoice was due

Over 120

Amount due over 120 days from the date when the invoice was due

Last Dunned

Date sponsor was last contacted about a payment due

Reading the Aging by Invoice Report by Profit Center

If you run the report by profit center, you may see an error listing of "Transactions missing valid WBS in Allocation" in the first part of the report. This means that these transactions might belong to your profit center but don't have a WBS element assigned to the sponsor's payment. If "Paid to date" is listed under the Kind column, then the Paid to Date column in the regular report (see above) is probably incorrect for the customers listed.

Note

To correct the error message"Transactions missing valid WBS in allocation" contact CAO (Dmitri Karageorge's group)to have the appropriate WBS element assigned to the transactions.

Printing the Report

1. Click the Print button Print button on the Toolbar to print the report immediately on your default printer, or follow the menu path: List>>Print to select your printer first.

Result: The "Print Screen List" screen appears if you chose List>>Print.

2. Select your printer.

3. Click the Continue button.

Result: The spool number appears on the bottom of the screen, indicating that your report was printed.
