NOTE: What you should know about the new SAPgui, including some important issues to note:

What's the difference between the SAPgui and the SAP system?

The 'gui' in SAPgui stands for 'graphical user interface.' The SAPgui is software on your computer that you use to access and complete transactions in the SAP system. The SAP system resides on a separate, central server, where SAP transactions actually take place and where the data is stored.

When do you need to get the new SAPgui?

Before you can do any work in the new SAP system, you will need to get the new SAPgui. If you require assistance downloading and installing the SAPgui software, contact the Business Liaison Team business-help@mit.edu.

NOTE: Installing the SAPgui for Windows requires 'Administrator' privileges and several prerequisites. If someone else maintains your machine, contact them to install the new SAPgui for you.

General changes with the new SAPgui:

For a complete tutorial on the differences with SAP 4.6, see the "SAP 4.6 Upgrade Self-Study." You can get this self-study from the Paper Documents web page. You will need to have the new SAPgui installed in order to do the self-study. For other documentation, see SAP for MIT Documentation on the Web.

MACINTOSH:

WINDOWS:
SAPgui for Windows

Appearance:

The new SAPgui has eye-friendly colors, which you can adjust according to your preferences. To change the colors of your screens:

  • MACINTOSH: Use the SAPgui Settings icon icon on the top right corner of your SAP session window.
  • WINDOWS: Use the SAPgui Settings button button in the PC Task Bar (usually at the bottom, right corner of the PC screen).

Buttons:

The buttons have an updated look, but function in much the same way. The old Refresh button is now called the Update button and looks different:

  • Old (release 4.5) - Refresh button in SAPgui 4.5
  • New (release 4.6) - Refresh button in SAPgui 4.6

Important issues to note:

MACINTOSH:

1) The new SAP logon for the Macintosh uses a new launch pad. Choose the environment you need and click the Connect button. (You will be prompted for your Kerberos username and password if you do not have Kerberos tickets already.)

2) Screen Prints: In previous versions of the SAPgui, it was possible to print the contents of an SAP screen. In the new SAPgui, the command-P print screen function is no longer available on the Macintosh platform. For printing hard copies of SAP data or documents, the preferred method has always been printing the related reports and look-ups which are designed for formatted print output. See the Reports section of the SAP for MIT Documentation on the Web.

If you want to take pictures of your screen, you can use the Mac OS screen capture function. This function creates a picture file (e.g., "Picture 0") and saves it either on your startup disk (your Macintosh hard disk) or to the clipboard. It is recommended that you insert the picture file into a Microsoft Word (or similar) document to print so that the entire image will fit on the page.

The Mac OS help provides instructions for taking pictures of your screen:

3) The recommended screen resolution for using SAP with the new SAPgui is 1024 by 768 pixels. You can set this resolution in the in the Control Panels>>Monitors. (If you choose a lower resolution, you will need to scroll more often in the SAP screens.)

4) Memory problems have been experienced when using SAP while numerous other applications are open. It is best to limit the number of other applications you have open while using SAP. Also, additional SAP sessions will draw memory resources from your system, and will not free the reserved memory until you quit SAP (even if extra SAP sessions are closed).

5) The system information area is on the bottom right corner of each SAP session screen.

6) The Macintosh menu no longer provides the Window menu for SAP.

7) To log out of SAP, follow the SAP menu path System>>Log off. Logging out this way quits the SAPgui for you. If you use the Macintosh menu to quit before logging out, you will not get the confirmation box for logging out of SAP.

WINDOWS:

1) The new SAP logon for Windows offers a new launch pad. Under the Start button, choose Programs>>SAP Frontend>>SAP-Logon. Double-click the environment you need. (You will need to get Kerberos tickets before logging onto SAP.)

2) When you first log onto SAP on your PC, the command field in the toolbar does not appear. Click the toggle arrow to the left of the Save button to open the command field. The command field will remain open in successive logons unless you toggle it closed again.

3) When you first log onto SAP on your PC, the system information area in the status bar does not appear. Click the toggle arrow in the right bottom corner of the SAP session window to open it. The system information area will remain open in successive logons unless you toggle it closed again. (The system information area is now located at the bottom right corner of each SAP session screen.)

4) The icons for minimizing, maximizing, and quitting the window may be difficult to see on the title bar of the SAP window. The buttons are still there in the usual place. When you pass your mouse over them, they will brighten.

5) The recommended screen resolution for using SAP with the new SAPgui is 1024 by 768 pixels. You can set this resolution in the "Display Properties" control panel, under the "Settings" tab. (If you choose a lower resolution, you will need to scroll more often in the SAP screens.)

Change your font size: You make the fonts larger or smaller in your SAP screens. When you use the recommended screen resolution, you can still make the fonts larger and more readable. To change the size of the fonts in your SAP screens, use the SAPgui Settings button button in the PC Task Bar (usually at the bottom, right corner of the PC screen).
