SCHOOL OF SCIENCE REWARDS & RECOGNITION PROGRAM
"SPOT APPRECIATION" AWARDS
RULES AND GUIDELINES
Another award program in the School of Science is the "Spot
Appreciation" Award. These awards are $50.00 gift certificates
redeemable at the Galleria Mall. The intent of these awards is to
recognize employees "on the spot" for going the extra mile. A few
examples of this could be for a project well done, helping out beyond
the normal duties and responsibilities or a variety of other special
circumstances that may occur within a department or laboratory. Faculty
are not be eligible for these awards. These awards are decided at the
department or laboratory headquarters level. Each
unit will be allotted a total of 12 awards for each spring and fall
period. Requests for this award should be submitted by an employee's direct
supervisor to the unit's Administrative Officer or Personnel Administrator.
The requests may be in the form of a brief letter or email consisting
of 2-3 sentences explaining why the employee is deserving of this award.
The AO/PA should then fill in the employee data on the "Appreciation"
form (spot_award_template.xls).
The support letter or email from supervisors may be attached to the
form to avoid retyping justifications. The form and justification should
then be forwarded to Debra Martin (by fax 253-8901, email to debra@mit.edu
or interdepartmental mail to 6-123) for final processing and approval.
Only requests that have been initially approved by the unit's AO or
PA will be accepted for processing. The gift certificate along with a thank you letter from the Dean will
be sent back to the AO/PA for distribution. This allows either the AO/PA
or direct supervisor of the employee to hand out the awards personally.
This process will be accomplished as quickly as possible. A log of the
award winners for each unit will be kept in the Dean's office. Only
1 award per individual is allowed per eligibility period. Receiving
a spot award does not disqualify an individual from being nominated
for the "Infinite Mile" or a "Dean Education and Student Advising"
award. There is no set timetable for giving out these awards during the eligible
term. You may give them all out in the first month if you deem it appropriate
or anytime during the defined spring or fall period. We ask that you
give careful consideration before awarding these prizes within your
unit. Once your allotment is given out, there will be no additional
gift certificates available to your unit for that particular eligible
period. If any unit does not use their total allotment during a designated
period, their allotted gift certificates will remain in the Dean's Office
