Course 1: GARP Project Team Meeting Notes

Agenda:

The meeting goal was to discuss the business process by which Course 1 decides and processes student funding in the form of FE, RA and TA.

General Information:

Course 1 does not guarantee support to every Graduate Student. In those cases in which a promise is made it is based on fellowship and RA support. Students are not guaranteed that they will obtain a TA position.

Payroll was also brought to us as an issue. The fact that the data entry cutoff date is the Wednesday before the last full working week of the month is too early for allowing Graduate Administrators find out the final sources of funds for supporting students. The disconnection between the SANDI and MITSIS is a concern shared by all. Student distributions are not the same between the 2 systems.

During our analysis phase, we should also be looking into the tuition proration tables and how they work.

TA Appointments:

With regards to TA appointments, it is critical for Course 1 that we provide them with some flexibility. Even though we could use the model approach we have been exploring, Course 1 appoints TA on a monthly basis.

As other departments, TA allocations are based on enrollment data and a formula that is used as a "base budget" (15 students is the equivalent of 1 TA month). The need for flexibility is key because there may be other factors in addition to the formula that may affect the number of students assigned to a subject. Stephanie also mentioned that it would be very helpful if we could provide them with some historical data: enrollments and graduate awards. Faculty members decide who to hire.

RA Appointments:

Course 1 sends email to all faculty requesting them the students that will be supported by RA’s. The faculty sends the list to Stephanie and she processes the appointments.

à One possibility is to send faculty an electronic list of students that need support and have them submit their requests in electronic format. The Graduate Administrator will then be responsible for approving and "posting" the appointment.

Reporting Wish List:

It would be useful to have a list of students whose appointment ended 1/15/00.
